Position Overview

We are seeking a proactive, highly trainable, and detail-oriented Office Assistant to support our Culver City office, specifically within our SLS (Supported Living Services - SCIP) program. This role is ideal for someone who thrives in a fast-paced environment, enjoys multitasking, and is comfortable working across a variety of administrative systems and office functions.

The ideal candidate is not only organized and tech-savvy, but also brings a positive attitude and enjoys creating a welcoming, engaging environment for seniors, individuals, and staff who visit the office for daily support.

Requirements

Company Overview:

High school diploma or G.E.D. required

Associate’s degree (A.A.) preferred

2+ years of hands-on administrative experience preferred

Experience in Human Resources or Office Administration strongly preferred

Proficiency in Microsoft Office (Word, Excel, Outlook)

Comfortable learning and working within multiple systems and databases

Responsibilities

  • Provide general administrative and clerical support including mailing, faxing, scanning, copying and filing.
  • Responsible for maintaining Office programs documentation and filing, recordkeeping systems. Retrieves and files information when needed.
  • Provide administrative and operational support.
  • Provide direct support to our SLS (Supported Living Services) Director on special projects, audits, reliability checks, administrative duties, tasks related to our SLS program.
  • Assist with preparation for New Hire Orientation by duplicating, sorting and distributing documents and assembling the New Hire Orientation notebooks.
  • Assist with the review of cash and billing batches, mileage expense submittals, corporate credit cards expense reports, and other accounts payable processes.
  • Provide back-up support to the front desk which includes greeting and directing visitors, answering and routing incoming phone calls, and receiving deliveries.
  • Prepare and organize documents to conform to quality control standards, office procedures and system processes.
  • Archive inactive records in accordance with the company’s document retention policies.
  • Coordinate quarterly file shredding schedule according to company’s document lifecycle procedures and the state and federal rules and regulations.
  • Assist with special projects as needed by the company.
  • Assist with electronic file organization and archiving on the server.
  • Other duties and projects assigned.
