Role Summary

The Marketing & Events Coordinator is responsible for the logistical engine that powers Greentank Technologies’ physical brand presence. This role will lead the preparation, execution, and organization of trade shows, conferences, and industry activations.

The successor of this role must have a valid passport for travel to the United States of America and Europe.

Role Responsibilities

• Trade Show & Event Logistics: Lead all physical and logistical preparation for activations, including packing, tracking, and unpacking all materials, displays, and marketing collateral.
• On-Site Execution: Travel to events to lead booth setup and teardown, manage storage areas, and support brand representation through lead capture and client support.
• Supply Chain Coordination: Manage shipping, freight, and storage with vendors to ensure timely delivery of event materials.
• Travel & Budget Management: Coordinate team travel logistics (flights, hotels, transportation) and maintain updated event budget trackers and schedules.
• Marketing Support & Research: Conduct competitor research and identify strategic industry opportunities for future attendance or sponsorships.
• Content Coordination: Gather and organize assets for marketing needs, such as client testimonials, case studies, and photography/video coordination.
• Inventory & Administration: Maintain in-house inventory of event materials and assist internal departments (Sales, Leadership, etc.) with file organization and asset requests.
• Industry Recognition: Research industry award opportunities and manage the application process by gathering required documents and assets.
• Other duties, as assigned

Requirements

Required Qualifications

Formal Education or Equivalent

• Working towards or have completed a post-secondary degree/diploma, or equivalent combination of education and experience in communications, marketing, media, or event planning

Specialized skills, knowledge or certifications unique to this role

• International Travel is Mandatory
• Access to a vehicle for travel within the GTA is an asset
• Logistics Mastery: Proven experience in trade show and event logistics; experience with international trade shows is an asset.
• Project Management: The ability to manage multiple projects simultaneously in a fast-paced environment with exceptional attention to detail.
• Strong Communication: Professional interpersonal skills for interacting with vendors, event partners, and internal cross-functional teams.
• Technical Proficiency: Fluent in Google Suite and Microsoft 365. Experience in Adobe Creative Suite (Illustrator, Photoshop, InDesign) is a plus.
• Operational Drive: A strong interest in marketing operations and a willingness to participate in physical on-site setups, including lifting and manual organization.
