About the Ideal Candidate
We’re looking for a highly organised, hands-on professional to manage and support the daily operations of our office in Manila. Situated near Mandaluyong, our office supports a team of 50 employees. This role is pivotal in ensuring the efficient operation of our office, facilitating employee onboarding, and providing facility support. The ideal candidate will play a key role in maintaining a productive, safe, and welcoming environment.
About the Role
- Onboarding & Inductions: Conduct facility inductions, assist HR/IT with new employee onboarding, issue and store devices, manage access fobs.
- Compliance: Manage permits, PEZA and BOI requirements, audit and assessments, other business processes comply with government regulations
- Office Operations, Maintenance and Repairs:
- manage office supplies, oversee coffee machine, ensure cable organisation, stock printers;
- maintain meeting room facilities;
- manage gate passes and pullout processes;
- overseeing routine maintenance and scheduling of repairs (regular pest control, air conditioning maintenance, and carpet/upholstery cleaning services, etc);
- assisting with office moves and renovations.
- Travel & Meetings: Book travel (flights/accommodation) for employees, coordinate meeting room bookings and setup.
- Project Management: Manage office projects, including furniture and security installations, attend tenant/landlord meetings.
- Visitor Management: Log and supervise office visitors, assist with meeting room bookings.
- Mail & Courier: Handle incoming/outgoing mail, scan important documents to relevant departments, manage courier shipments.
- Health & Safety: Serve as First Aider and Fire Warden, complete office risk assessments, plan disaster preparedness and related initiatives.
- First Aid: Act as the office's Qualified First Aider and Fire Warden, ensuring compliance with health and safety standards.
- Events: Organise company social events to promote team engagement and a positive workplace culture.
- Other duties as assigned: Open to handling non-admin and facilities tasks assigned to HR and Admin team.
Requirements
About You
- Fluency in English, C1 level or equivalent, both written and spoken.
- Proven experience in office management, preferably in a fast-growing environment.
- Strong organisational, multitasking, and problem-solving abilities.
- Proficiency with office technologies.
- Excellent communication and interpersonal skills.
- Detail-oriented with a focus on maintaining a secure, efficient, and welcoming workspace.
- Certification as a First Aider and Fire Warden (or willingness to obtain).
- Experience in fast-paced, international work environments.
- Full-time, office-based position.
