About the role
We are seeking a highly organized Office Manager to take ownership of day-to-day workplace operations for a professional office environment in central Paris. This role is ideal for someone who enjoys creating structure, improving office processes, and ensuring employees and visitors have a smooth, professional experience. You will play a key role in supporting leadership, coordinating vendors, maintaining office standards, and keeping the workplace running efficiently. This is a fully on-site position based in central Paris

Key Responsibilities
- Manage daily office operations, ensuring the workplace is organized, professional, compliant, and fully operational
- Act as the main point of contact for office vendors, suppliers, facilities providers, landlords, and maintenance contractors
- Coordinate office supplies, equipment, meeting rooms, access badges, mail, courier services, and general administrative needs
- Support leadership with scheduling, meeting preparation, travel coordination, and internal office communications
- Oversee health, safety, security, and workplace compliance processes in line with French requirements
- Manage reception processes, visitor coordination, and office hospitality standards
- Support onboarding logistics for new employees, including equipment, workspace setup, and office orientation
- Track office budgets, invoices, purchase orders, and recurring supplier agreements
- Identify opportunities to improve office workflows, documentation, and internal service standards
- Support internal events, team meetings, workshops, and leadership sessions as required
Responsabilités principales
- Gérer les opérations quotidiennes du bureau, en veillant à ce que l’environnement de travail soit organisé, professionnel, conforme et pleinement opérationnel
- Agir comme point de contact principal pour les prestataires, fournisseurs, services généraux, bailleurs et intervenants de maintenance
- Coordonner les fournitures de bureau, les équipements, les salles de réunion, les badges d’accès, le courrier, les services de messagerie et les besoins administratifs généraux
- Soutenir l’équipe de direction dans la gestion des agendas, la préparation des réunions, l’organisation des déplacements et les communications internes
- Superviser les processus liés à la santé, la sécurité, la sûreté et la conformité du lieu de travail selon les exigences françaises
- Gérer l’accueil, la coordination des visiteurs et les standards d’hospitalité au bureau
- Soutenir la logistique d’intégration des nouveaux collaborateurs, y compris l’équipement, l’installation du poste de travail et l’orientation au bureau
- Suivre les budgets du bureau, les factures, les bons de commande et les accords récurrents avec les fournisseurs
- Identifier les opportunités d’amélioration des flux de travail, de la documentation et des standards de service interne
- Soutenir l’organisation d’événements internes, de réunions d’équipe, d’ateliers et de sessions de direction selon les besoins
Requirements
- Degree or diploma in Business Administration, Office Management, Hospitality, or a related field preferred
- Fluent in English and French, written and verbal
- Proven experience in office management, facilities coordination, executive support, or business administration
- Strong organizational skills with the ability to manage multiple priorities at once
- Experience coordinating vendors, invoices, supplies, and office service providers
- Professional communication style with strong attention to detail
- Confident using Microsoft Office, shared calendars, expense tools, and administrative systems
- Comfortable working fully on-site and being the first point of contact for workplace matters
Preferred Qualifications
- Experience in a corporate, regulated, or international office environment
- Prior exposure to health and safety administration or facilities compliance
- Experience supporting senior leaders or executive teams
- Familiarity with procurement, invoice approvals, and supplier contract tracking
- Experience helping improve office procedures or employee workplace experience
Exigences

- Maîtrise du français et de l’anglais, à l’écrit comme à l’oral
- Expérience confirmée en office management, coordination des services généraux, assistance de direction ou administration d’entreprise
- Solides compétences organisationnelles et capacité à gérer plusieurs priorités simultanément
- Expérience dans la coordination de prestataires, de factures, de fournitures et de services de bureau
- Communication professionnelle avec une grande attention aux détails
- Bonne maîtrise de Microsoft Office, des calendriers partagés, des outils de notes de frais et des systèmes administratifs
- Capacité à travailler pleinement en présentiel et à être le premier point de contact pour les sujets liés au bureau
Qualifications souhaitées
- Expérience dans un environnement corporate, réglementé ou international
- Exposition à l’administration santé et sécurité ou à la conformité des services généraux
- Expérience dans le soutien à des dirigeants ou à une équipe de direction
- Familiarité avec les achats, les validations de factures et le suivi des contrats fournisseurs
- Expérience dans l’amélioration des procédures de bureau ou de l’expérience collaborateur
Benefits
- Base Salary: €40,000 to €55,000 gross per annum, commensurate with experience
- Leave: 25 days paid annual leave in line with French statutory entitlements, plus RTT days applicable to the role
- Location: Paris, France, on-site
