What this opportunity involves:

As Workplace Manager, you will provide strategic management, oversight, and continuous improvement of multi-function outsourced services across Facility Management, Records Management, and Business Support. Your primary responsibility is ensuring that safe, compliant facilities are maintained at all times while delivering best practice service standards that align with organizational objectives.

In this role, you will manage overall service outcomes to guarantee that all Key Performance Indicators are consistently met or exceeded throughout the contract term. You will focus on driving service excellence to ensure CSS Client Satisfaction survey results deliver positive outcomes for both CSS and JLL. Working closely with the Account Manager, you will be responsible for managing services in line with or below agreed budget levels, demonstrating strong financial acumen and cost-effective service delivery.

This position requires a strategic thinker who can balance operational excellence with continuous improvement initiatives, ensuring seamless service delivery across all functions while maintaining the highest standards of safety, compliance, and client satisfaction.

Key Responsibilities include:

People and Team Management Lead and develop a high-performing team responsible for all operations under the Statement of Work. Proactively coach and mentor staff to build a motivated, skilled workforce that delivers flexible service through cross-functional training. Manage rosters, recruitment, and shift coordination to ensure optimal staffing levels and service continuity.

Third Party Supplier Management and Procurement Oversee third-party services to ensure professional delivery at optimal cost while maintaining accountability for all service outcomes. Manage procurement processes in compliance with CSS guidelines and JLL best practice, including contract administration, vendor onboarding, and ongoing value assessment to deliver sourcing savings.

Communication and Training Maintain clear communication from problem identification through resolution, including user notifications, orientation training, and process education. Track unresolved issues and ensure all personnel are trained on JLL systems and workplace-related equipment.

Facility Management and Building Services Manage sites and client assets to maintain safe, compliant workplaces while achieving best value through supplier management. Oversee building inspections, maintenance, fire protection, and the contact centre for facility requests. Coordinate ergonomic assessments, after-hours access, and energy efficiency programs.

Safety and Security Ensure compliance with all applicable laws and CSS safety program requirements. Manage security incidents, liaise with building management on access systems, conduct annual compliance reviews, and supervise suppliers in sensitive areas to maintain site security standards.

Emergency Response and First Aid Coordinate emergency preparedness including trained response teams, appropriate signage and processes, and compliance with local emergency services. Maintain first aid facilities and equipment including defibrillators.

• Minimum five years' experience in facilities management, property management, hospitality or related field
• Proven leadership experience managing, training and developing high-performing teams in collaborative environments
• Demonstrated expertise in vendor management and third-party supplier coordination
• Strong budget management and financial analysis capabilities
• Proactive customer service approach with excellent stakeholder engagement skills
• Proven ability to manage multiple complex operational matters simultaneously while meeting tight deadlines
• Track record of initiating and implementing continuous improvement initiatives
• Highly proficient in Microsoft Office with strong adaptability to changing situations and new technologies
