About the role
You are the person the office runs through. On Day 1, you are the face a new joiner sees — office tours, swag, workstation ready. When someone leaves, you close the loop — hardware back, access cards collected, IT handed off clean. In between, you run the engagement calendar, keep the office stocked, and make sure the physical environment stays functional.
Concretely :
You own onboarding day logistics and offboarding handoffs for every Malaysia office hire;
You plan and host the employee engagement calendar — events, campaigns, wellness sessions;
You keep the office stocked, the vendors coordinated, and the facilities working; and
You maintain the hardware register and act as the local IT liaison for the team.
What You'll Own
1. Employee lifecycle
Welcoming new joiners on Day 1 — office tour, swag distribution, and workstation setup;
Managing exit logistics, including hardware recovery, access card collection, and prompt IT handoffs.
2. Engagement & culture
Planning and hosting company events end to end — townhalls, festive events, team socials, and wellness sessions;
Running the engagement calendar alongside the HRBP : coordinating logistics, tracking budgets, and gathering post-event feedback;
Managing internal communications on Slack — event announcements, campaign content, and regular team updates.
3. Facilities & workplace operations
Keeping the office stocked — managing pantry inventory and daily essentials;
Coordinating with vendors, suppliers, maintenance crews, and contractors for day-to-day office upkeep;
Acting as the go-to contact for facility issues, resolving them quickly or escalating to the right person;
Supporting on-site health, safety, and emergency protocols.
Handling the administrative work that keeps the office running — parking season pass, building access card issuance, purchase order raising, permit applications, and similar tasks as they come up.
4. Workplace hardware & asset operations
Coordinating hardware issuance for new joiners (laptops and peripherals) and collection at offboarding;
Maintaining the hardware asset register — serial numbers, equipment assignments, and return statuses;
Acting as the local hardware liaison : meeting room AV setups, light troubleshooting, and IT escalations.
What you’ll need
Currently pursuing a degree in Human Resources, Psychology, Communications, Business Administration, or a related field;
Available for a minimum 6-month internship;
Curiosity about AI tools and a habit of finding smarter ways to get things done;
Organised enough to track hardware, budgets, and event timelines without things slipping;
Clear communicator — in writing and in person, and comfortable adapting your style to the audience;
Comfortable with data — able to compile and surface insights from engagement and operations metrics; and
Able to juggle competing priorities and stay calm when they collide.
