Key Responsibilities
Inbound Quality Control and Standardization
- Organize systematic incoming quality audits for shipments arriving from manufacturing hubs in Ukraine, Turkey, and Vietnam, including verification of pallet integrity, packaging labels, barcodes, serial numbers, and packing lists.
- Reduce Dock-to-Stock Time by developing efficient receiving procedures, managing non-conforming goods, and enabling fast cross-docking for priority orders.
- Coordinate directly with manufacturing sites regarding claims related to production defects, packaging issues, or shipment discrepancies.
- Ensure maximum picking accuracy and full compliance of outbound orders with EU distributor requirements, including market-specific labeling, documentation, packaging, and secure load handling.
- Reduce Order Fulfillment Cycle Time from order creation in the system through loading onto trucks or handover to courier services.
- Monitor compliance with SLA and OTIF requirements by line-haul and express carriers, including FTL/LTL and CEP operators such as DPD, DHL, InPost, and others, during loading and cargo handover.
- Manage the full cycle of complaints from European distributors, including registration, investigation, Root Cause Analysis using methodologies such as 5 Whys, Ishikawa, and 8D, and prevention of recurring incidents.
- Develop and implement Corrective and Preventive Actions (CAPA) related to warehouse operations, packaging, and cargo securing.
- Monitor and minimize product losses caused by damage within the warehouse, including Scrap and Damage Rate.
- Implement Poka-Yoke mistake-proofing solutions within picking and packing processes through the WMS, including weight control and mandatory barcode and serial number scanning.
- Audit and optimize picking routes to eliminate unnecessary movement and other forms of waste.
- Develop and continuously update SOPs, work instructions, and operational checklists for warehouse employees.
- Build and monitor a daily operational quality dashboard covering key metrics such as OTIF, Perfect Order Rate, Claims PPM, Picking/Packing Error Rate, and Order Cycle Time.
- Maintain regular synchronization of operational statuses with the central office and logistics management.
- Conduct regular on-site audits of compliance with quality standards across warehouse shifts within a Polish-Ukrainian workforce.
- Train warehouse operators, packers, and WMS users in proper handling and care of high-tech electronic products.

Requirements:
Experience and Expertise – Hard Skills
- At least 4 years of experience in warehouse quality management (Warehouse QA/QC), Continuous Improvement, Operational Excellence, or as a Deputy Warehouse Manager with a strong focus on processes within a Class A Distribution Center.
- Experience in international distribution within Consumer Electronics, Hi-Tech, Automotive Components, or large-scale omnichannel E-commerce.
- Practical knowledge of problem-solving and process improvement methodologies, including Lean Six Sigma — Green Belt certification is an advantage — Kaizen, 5S, 8D, PDCA, and Root Cause Analysis.
- Knowledge of handling imported goods from non-EU countries and understanding of packaging and labeling requirements applicable to EU markets.
- Understanding of Polish occupational health and safety regulations (BHP), storage standards, and UDT requirements related to warehouse equipment.
- Strong experience with WMS and ERP systems such as SAP, Qguar, Manhattan WMS, or similar platforms, including an understanding of how quality control checkpoints are configured within WMS processes.
- Strong analytical skills and confident use of MS Excel, including PivotTables and formulas, as well as Power BI or Grafana for performance and deviation visualization.
- Polish: Polish language skills will be considered an advantage.
- Ukrainian: Native or fluent level, required for direct communication with the head office, stakeholders, and colleagues in Ukraine.
- English: B1+ level, required for cross-functional cooperation with manufacturing facilities in Turkey and Vietnam, international carriers, and handling claims from EU distributors.
- Proactivity and leadership through influence: ability to build a strong and demanding quality culture within a Polish-Ukrainian team while maintaining constructive cooperation with warehouse operations.
- Ability to work effectively under pressure and maintain a structured approach during peak workload periods, including month-end, quarter-end, and Black Friday.
- Strong attention to detail combined with an End-to-End understanding of warehouse and distribution processes.
