About The Role

We're looking for a Virtual Receptionist to join our Admin Services team, the human-led virtual admin service many clinics know as Ginger Desk. Ginger Desk was founded by a Naturopathic Doctor who knew firsthand how much work happens outside the treatment room, and earlier this year it officially joined Jane. Together, we're growing Services into a big part of how Jane helps the helpers, with one simple mission: give practitioners their time back.

Most of our customers are practitioners who care for patients all day and then run a small business around their clinical hours. As a Virtual Receptionist, you'll be the friendly voice on the other end of the line for a group of these clinics. You'll answer calls from patients, book and update appointments in Jane in real time, and work closely with our Virtual Assistants so every question gets answered and every follow-up lands where it should. For many patients, you'll be their first impression of the clinic, and you'll make it a good one.

The Impact You Could Have

• Give practitioners their time back by answering patient calls for a group of clinics and handling bookings, changes, and cancellations in Jane in real time.

• Help every caller feel looked after, bringing warmth, patience, and a professional tone to each conversation.

• Resolve as many questions as you can on the first call, so patients get what they need quickly and clinics know they can count on you.

• Work hand in hand with our Virtual Assistants to pass along details, follow up on requests, and keep clinic schedules accurate.

• Keep patient information private and secure, handling every call in line with PIPEDA and HIPAA standards.

• Help shape how AI supports our Services work by trying new tools with curiosity and care, and sharing what genuinely saves clinics time without compromising quality or privacy.
  

The Experience We Feel We Need

• You have 3+ years of administrative experience in a healthcare or wellness clinic, with plenty of that time spent on the phones at the front desk or in a reception role.

• You've used Jane day to day in a clinic for about 2 years or more, and you're confident with scheduling, booking changes, and invoicing.

• You understand how different practitioners work and what their patients need, and you're comfortable with terminology across disciplines like naturopathic medicine, mental health, and medical aesthetics.

• You have excellent verbal communication skills and a calm, professional phone manner, even on a busy day of back-to-back calls.

• You're a strong problem solver with a sharp eye for detail, and you take pride in getting every booking right the first time.

• You're comfortable with web-based calendars, phone and email systems, and other clinic software, and you pick up new tools quickly.

• You're curious about how AI tools can make your day smoother and happy to help test them out.

• You're based in Canada and can work Monday to Friday. Shifts are 8 hours between 7am - 7pm in your time zone. The time zone you're hired into is the one you'll stay in, since your clinics count on you being there during their hours.

• Experience with virtual phone systems or high-volume call queues is a nice-to-have.

Compensation & Benefits

This is a full-time role that pays $52,000 CAD a year, based on a 40 hour work week.
