The Opportunity:
The Training Coordinator is responsible for the end-to-end administrative setup, logistics, and coordination of the Project Management Fundamentals (PMF) program and other training courses. This role ensures courses run smoothly by managing scheduling, materials, instructor support, attendance tracking, and post-course administration. The coordinator serves as the primary operational point of contact for training delivery and maintains organized records and processes that support consistent, high-quality training experiences.
Responsibilities
- Plan, schedule, and coordinate all administrative aspects of PMF and other training courses (in-person, virtual, or hybrid), including dates, locations/rooms, and technology setups.
- Maintain course waitlists, send confirmations and reminders, and handle cancellations or substitutions.
- Prepare, organize, and distribute course materials (physical and digital), including workbooks, handouts, slides, certificates, and pre-/post-course resources.
- Coordinate with instructors/facilitators on logistics, materials needs, technical requirements, and any special requests.
- Set up and support learning environments (classroom layout, virtual meeting platforms, audiovisual equipment).
- Track attendance, collect evaluations/feedback, and compile completion records and reports.
- Maintain accurate training records, rosters, and documentation in accordance with organizational policies.
- Support continuous improvement by gathering feedback, identifying administrative process gaps, and recommending refinements to course setup and delivery.
- Facilitate course introductions and closeouts in front of participants
- Coordinate with internal stakeholders and external vendors as needed for successful course execution.
- Perform other administrative and coordination duties related to the training as assigned.
Qualifications:
Required:
- US Citizen with Active Secret Security Clearance or ability to obtain secret clearance
- Bachelor's degree
- 3-5 years of experience
- Proven experience in training coordination, administrative support for education/training programs, or project/operations coordination.
- Strong organizational skills with the ability to manage multiple concurrent courses and deadlines.
- Excellent attention to detail organization and accuracy in record-keeping and documentation.
- Proficiency with Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) and comfort learning new systems.
- Strong written and verbal communication skills; ability to interact professionally with instructors, participants, and stakeholders.
Desired:
- Familiarity with Ship Repair, project management concepts or Project Management Fundamentals content.
- N3 Level or above in the Japanese Language
- Prior experience supporting professional development or corporate/government training programs.
- Experience with adult learning facilitation
- Knowledge of basic instructional support or adult learning logistics.

The proposed salary range for this position is:
$45,700 - $91,300
