JOB SUMMARY
Provide logistical support to staff, artists and educators in facilitation of RISD Museum educational programs for a variety of audiences, including teens, college students, and adults.  Coordinate and complete a variety of administrative duties related to the efficient day-to-day operations of educational programs.  Schedule On-Call Educators and serve as their primary point of contact for program-related logistics and communication.

ESSENTIAL FUNCTIONS/DUTIES:

  • Under the direction of the Director of Public Programs, provides pre-program and day-of logistical and/or facilitation support for intergenerational educational programs, including Ways of Looking, Work in Process, Museum Professional Practices 101, and more. Support may include setting up the physical space, setting and replenishing supplies, greeting facilitators and guests, tracking attendance, taking notes, photos, and videos, serving as the Zoom host for virtual meetings, responding to inquiries from external contacts, and requesting, collecting, and organizing participant feedback. Oversees student workers during programming. Responds to emerging needs throughout the program as needed. 

  • Working with the Director, Family & Teen Programs, provides pre-program support and on-site coordination and facilitation support of the weekly RISD Art Circle program for teens. Support may include lesson planning, ordering or procuring supplies, submitting staffing and catering requests, communicating with participants and parents, and assisting with outreach and participant selection, drafting calendar/web listings for events, and assisting with event promotion. 

  • Using a range of software systems, including Asana, Altru, Museum Plus, TypeForm, Workday and other Museum systems, ensures timely and accurate data entry related to educational programs, including but not limited to booking rooms, staffing and catering requests, submitting calendar/web listings for events, assisting with event promotion, tracking registration details and enrollment numbers, tracking spending, and submitting receipts for reimbursement.

  • Under the direction of the Director of Public Programs, provides administrative support for annual Dorner Prize and biannual research residency application processes, including updating and posting program descriptions and forms, responding to inquiries from external contacts, drafting and sending correspondence regarding eligibility and participation, tracking application status, coordinating applicant interviews, and other duties as needed. 

  • Serves as the main point of contact for program participants, artists, and On-Call Educators regarding program preparation, execution, and evaluation. With an understanding of museum policies and partnerships, coordinates communication among departments as needed to accommodate unique setup and supply requests. 

  • As directed, distributes resources and materials related to exhibition content, programs, and pedagogical practices for Education staff, On-Call Educators, Student Workers, and artists. Occasionally attends tours and/or events and takes notes for distribution, as requested.

  • Posts content to social media and assists in creating other print and online marketing materials to promote programs, as requested. 

  • Completes other related duties as assigned, including maintaining art supply and materials closet, ensuring there is an organizational system in place and training student workers on art closet maintenance and systems.  

  • Work closely with and/or serve as a point person for student workers on occasion.

MINIMUM QUALIFICATIONS:

  • An Associate’s degree is required, Bachelor’s degree preferred, with a preference for credentials in art and design or art and design education, and a minimum of two (2) years working with a variety of audiences (teens, young adults, adults, etc.) 

  •  An equivalent combination of education and experience may be substituted for the minimum educational requirement.


JOB QUALIFICATIONS/SPECIFICATIONS
KNOWLEDGE/SKILLS/EXPERIENCE REQUIRED

  • Confidence in public speaking and experience with formal or informal group facilitation required. At least one year of experience providing administrative and programmatic support required.    

  • Strong verbal and written communication skills.  

  • Strong teamwork orientation and collaboration skills.  

  • Ability to build rapport with teens, children, and young adults.  

  • Must demonstrate strong attention to detail.  

  • Must recognize diversity and inclusion as central to excellence.  

  • Proficiency with computer software, such as the Microsoft Office Suite, is required.  

Preferences:

  • Bachelor’s degree preferred, with a preference for credentials in art and design or art and design education or equivalent combination education and experience.  

  • Experience with or interest in learning design software is preferred.

  • Proficiency in creating promotional materials is preferred.
