The Specialty Pro Quote Specialist manages complex requests for quotes (RFQs) and coordinates custom pricing matrices. This position balances accurate cost estimation, regulatory compliance, and margin optimization to secure new business and retain strategic accounts. This role acts as a critical link between sales teams, procurement, engineering, and external vendors to create competitive, profitable, and highly accurate bid proposals.

Key Responsibilities

• Analyze RFQ Packages: Review technical specifications, engineering drawings, bills of materials (BOM), or client risk profiles to determine quoting boundaries.

• Source Vendor Pricing: Solicit and negotiate pricing with raw material suppliers, component vendors, or specialized insurance underwriters to minimize wholesale costs.

• Calculate Total Costs: Compute exact financial metrics including labor hours, specialized freight, material degradation, and target profit margins.

• Build Custom Playbooks: Partner with regional managers to document repeatable standard operating procedures for specialized or high-volume accounts.

• Track Performance Data: Manage the complete pipeline of outstanding quotes within corporate CRM software (like Salesforce) or ERP platforms (like Prophet 21).

• Cross-Functional Liaison: Coordinate with engineering, production, finance, and legal teams to confirm operational capacity and compliance standards before final submission.

Required Skills & Experience

• Experience: 2 to 5 years of analytical pricing, custom quoting, or sourcing management experience within a fast-paced environment.

• Technical Literacy: Mastery of spreadsheet formulas (Microsoft Excel vlookups, pivot tables) and operational software like ERP, CRM, or dedicated commercial rating engines.

• Blueprint Translation: Ability to accurately interpret blueprint schematics, industrial design files, or dense corporate policy portfolios.

• Negotiation Capacity: Proven track record of leveraging bulk volume or strategic partnerships to secure vendor discounts.

• Time Management: Exceptional organizational skills to handle dozens of independent, time-sensitive bids concurrently.

Key Performance Indicators (KPIs)

• Quote Accuracy Rate: Minimizing financial discrepancies or margin erosions after a quote is finalized. (Target: Keep within 5-10% range)

• Turnaround Time (TAT): Average speed of delivering a complete quote back to the client from the initial intake. (Target: 24–48-hour TAT to 24 hours or less.)

• Assignment Conversions Ratio: Percentage of assignment conversions that occur because of quote accuracy and TAT. (Target: Growth and more assignments, increase sales and result in profit growth.)
