Irvine Regional Office (Derian)Position Type
RegularThe Senior Yardi Systems Administrator is a senior-level position responsible for the administration, operational integrity, and user management of Essex’s enterprise Yardi property management platform. This role serves as the highest internal escalation authority for functional issues across Voyager and its associated modules, ensuring platform stability, accurate system configuration, and a consistent, high-quality experience across all departments, properties, and business units. The position demands a comprehensive understanding of Yardi system administration, security and permissions architecture, and the operational workflows that drive property management, leasing, and accounting functions across a large multifamily portfolio.
In addition to platform ownership, this role carries direct management responsibility for the Yardi Systems Administrator, providing day-to-day oversight, workload management, performance coaching, and professional development. This individual is expected to operate with a high degree of autonomy, exercise sound judgment in evaluating and prioritizing competing demands, and bring a proactive mindset to identifying gaps and improving Essex's Yardi posture across the organization. The ideal candidate is an experienced Yardi professional who combines deep platform knowledge with people leadership instincts and the communication skills to engage credibly with stakeholders at every level of the company.
This is a technical Yardi Systems Administration role, not a property operations position. Candidates must have experience administering, configuring, supporting, and maintaining Yardi platforms for a multifamily organization. Experience limited to using Yardi as a leasing, property management, accounting, or onsite operations end user will not meet the requirements of this position. This role is part of the Yardi group in the Enterprise Applications team, which is part of the larger Essex Technology team. The Essex Technology team is an all-inclusive group of passionate technologists dedicated to collaborating with each other while supporting and driving Essex to a tech-forward future.
WHAT YOU WILL DO:
- Serves as the highest internal escalation point for Yardi tickets, receiving and resolving complex issues that cannot be handled at the Yardi Systems Administrator level.
- Investigates, diagnoses, and resolves advanced functional and configuration issues across Yardi modules.
- Coordinates with Yardi Client Support on cases that require vendor involvement; manages escalation timelines, drives cases to resolution, and maintains clear stakeholder communication throughout.
- Oversees user access governance across the full portfolio: reviewing and approving security role assignments and ensuring permissions align with job function, company policy, and audit standards.
- Leads smaller-scale Yardi projects including module configuration updates, workflow adjustments, form changes, and process rollouts, with appropriate delegation to the Yardi Systems Administrator.
- Assists with testing and validation of system updates, configuration changes, and new feature rollouts coordinated by the Solutionist Team.
- Supports onboarding newly acquired properties into the Yardi platform: directing entity setup, data loading, workflow validation, and integration confirmation.
- Directly manages the Yardi Systems Administrator, providing day-to-day oversight, workload prioritization, regular one-on-ones, formal performance reviews, and ongoing coaching and professional development.
- Acts as the primary Yardi point of contact for corporate leadership and department heads — handling their system needs with a high level of responsiveness and professionalism.
- Responds to ad-hoc requests from corporate teams for data pulls, report access, system navigation assistance, and configuration questions - escalating to the Solutionist Team when technical depth is required.
- Prepares and distributes Yardi-related communications, announcements, and user guidance materials on behalf of the department (e.g., maintenance windows, new feature notices, process updates).
- Assists in preparing materials for leadership presentations, platform reviews, regular SOX audits, and department planning discussions as directed by management.
- Maintains and enforces internal documentation standards for system configurations, security practices, escalation procedures, and team SOPs.
WHAT THE JOB REQUIRES:
- 7+ years of hands-on Yardi System Administration experience supporting Yardi Voyager and related modules within a multifamily housing organization.
- Demonstrated experience in a Senior Yardi Administrator, Yardi Platform Manager, Yardi Systems Manager, or equivalent enterprise platform administration role; end-user-only Yardi experience will not meet the requirements of this position.
- Advanced expertise administering Yardi security including user provisioning, role configuration, permission management, and access governance across a large, multi-entity portfolio.
- Comprehensive working knowledge of Yardi Voyager Residential and associated platforms including RENTCafé, PAYScan, Maintenance, CRM, Elevate, Forecast Manager, or other Yardi products.
- Experience managing system configurations, workflow changes, module implementations, upgrades, testing cycles, and production support activities at an enterprise scale.
- Multifamily industry experience required, preferably supporting a large multifamily owner, operator, REIT, or property management organization utilizing Yardi as its primary property management platform.
- Prior experience in people management or team lead capacity with demonstrated ability to deliver performance feedback, manage workload distribution, and develop direct reports.
- Experience supporting property acquisitions, community onboarding, data validation, and system conversions strongly preferred.
- This position requires the ability to work Monday through Friday. It includes a hybrid work arrangement with in‑person office requirements a minimum of four days per week (Monday through Thursday) at Essex’s corporate office in Irvine. The hybrid policy is subject to change at Essex’s sole discretion.
- Work is primarily conducted in an office setting. Requires sitting at a desk or workstation for extended periods. Involves the use of standard office equipment such as computers, phones, and printers. Requires the ability to sit or stand for extended periods. Minimal physical effort in the day-to-day tasks.
- Travel may be required for occasional meetings, training, or conferences.
WHAT YOU WILL BRING TO THE TABLE:
- Strong analytical and problem-solving skills with the ability to translate complex operational requirements into effective system solutions.
- Exceptional written and verbal communication skills with the ability to communicate technical concepts to both technical and non-technical stakeholders.
- Proven ability to work effectively and build relationships with various teams, departments, and stakeholders.
