JOB SUMMARY: The Senior Program Support Coordinator is responsible for providing senior administrative, governance, operational, and financial support to ensure the successful delivery of Defence contracts and program outcomes. The role coordinates contractual deliverables, CDRL requirements, reporting, compliance activities, document management, and program governance processes, ensuring obligations are met and deliverables are completed accurately and on schedule. Working closely with Program Managers, Defence stakeholders, subcontractors, and internal teams, the position supports all phases of the program lifecycle and may act in a Deputy Program Manager (Governance) capacity when required to maintain continuity of program execution and governance oversight.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Provide senior program support across multiple Defence projects, ensuring activities are conducted in accordance with contractual requirements, company policies, governance frameworks, and applicable Defence standards.
- Manage Contract Data Requirements List (CDRL) deliverables, including scheduling, monitoring, tracking progress, coordinating stakeholder inputs, and ensuring all contractual submissions are completed accurately and delivered on time.
- Coordinate the preparation, review, formatting, quality assurance, and finalisation of program reports, ensuring documentation is submission-ready, compliant with contractual requirements, and aligned with corporate standards.
- Establish, maintain, and administer program document management systems, ensuring effective configuration management, version control, record keeping, and audit readiness.
- Prepare and coordinate governance documentation, program management reviews, status reports, briefing materials, agendas, meeting minutes, action registers, ensuring timely distribution and follow-up of assigned actions.
- Assist in the management of contract performance and financial administration activities.
- Liaise effectively with Defence representatives, subcontractors, internal functional teams, and senior stakeholders to facilitate collaboration, resolve administrative and governance matters, and support successful program outcomes.
- Provide cross-functional support across multiple programs and business areas on a matrixed basis, contributing specialist program support expertise as directed by Program and Operational leadership.
- Identify opportunities to improve program support processes, reporting quality, governance effectiveness, and administrative efficiencies, contributing to continuous improvement initiatives across the business.
- Act as the delegate for the Deputy Program Manager (Governance) as required, maintaining continuity of governance processes, reporting obligations, stakeholder coordination, and program administration during periods of absence or increased operational demand.
- Provide occasional after-hours or on-call support during critical program milestones, peak operational periods, exercises, or contractual reporting cycles as required.

BACKGROUND AND EXPERIENCE:
- Requires a minimum of 4-6 years of related experience.
- Demonstrates proficiency in administrative and support roles, using effective strategies to handle complex assignments.
- Displays considerable judgment and initiative in problem-solving, proposing new processes when needed.
- Operates with minimal supervision, determining methods for tackling new or challenging tasks.
- Works collaboratively with various teams, contributing to a shared understanding of project goals and performance metrics.
- Experience in Defence or government contracting environments.
- Strong understanding of Defence compliance and documentation standards.
- Proficiency in Microsoft Office and SAP.
- Excellent organisational, communication, and stakeholder engagement skills.
CONDITIONS OF EMPLOYMENT:
- Successful outcome of a National Police Check.
- Ability to obtain and maintain the required security clearance up to AGSVA NV1.
- Hold and maintain an open Driver’s License.
