How it’s going (and growing)

With a talented team of 750+ Roofsters, our collaborative, can-do culture is what fuels our growth. In 2022, we closed on our Series E, raising $240 million, and have offices in the Bay Area and New York City. Our growth includes recent acquisitions of Stessa (financial and asset management software), RentPrep (tenant screening and placement service for landlords), and Mynd (property management platform for both Retail and Institutional investors). In 2025, Roofstock took an ownership stake in Casago (short-term rental management services), expanding our platform to support both long-term and short-term rental investment services.

About the Role

Roofstock is looking to hire an organized, systems-minded, and experienced Senior Legal Operations Manager to join our Legal team. This individual will own how legal work moves through the business: how it comes in, how it gets tracked, how it gets executed, and how it gets approved and paid. The Senior Legal Operations Manager will build durable workflows in place of institutional memory, keep contract turnaround predictable, maintain clean and complete records, support claims and litigation management in-house, and help manage outside counsel spend against budget. This is a hands-on individual contributor role with broad visibility, partnering closely with Finance, People Operations, Compliance, and the business teams that depend on Legal to move quickly.

Responsibilities

Legal Operations & Contract Management

• Contract Lifecycle Management: Own end-to-end contract intake, routing, workflow optimization, and status tracking using Zip.
• First-Line Agreement Review: Perform initial triage and review of incoming third-party agreements in Zip, evaluating red flags, indemnification terms, and standard boilerplate before escalating complex issues to attorneys.
• Process & Self-Service Optimization: Build and maintain contract templates, playbooks, and self-service tools to empower business teams and eliminate attorney bottlenecks on routine agreements.
• Repository & Record Management: Establish repository standards (e.g., Google Drive structure) and manage post-execution filing and signature routing so critical legal records remain organized, current, and accessible.

Financial Management & Outside Counsel Operations

• Spend Management & Billing: Oversee law firm billing guidelines, manage outside counsel engagements, and perform initial invoice reviews.
• Finance & Accounting Alignment: Track legal spend against department budgets and collaborate directly with Accounting and Finance on monthly accruals, reporting, and operational friction points.
• Vendor Negotiations: Support rate negotiations with outside counsel and evaluate third-party legal vendors.

Corporate Governance, Transactions & Claims (Paralegal Support)

• Entity Management & Cap Table: Manage corporate governance, state filings, annual reports, and registered agent coordination across multiple entities and jurisdictions. Maintain cap table and corporate records in Carta.
• Transaction Support: Coordinate document collection, diligence request tracking, and virtual data room administration (e.g., DataSite) for corporate transactions and financings.
• Litigation & Claims Support: Support in-house claims and litigation intake, issue litigation holds, corporate insurance, coordinate document collection, track deadlines, and liaise with outside litigation counsel.

Legal Technology & Department Analytics

• System Administration: Directly administer legal tooling, including Zip (CLM), Carta, e-signature tools, and billing software.
• Reporting & Metrics: Build and maintain operational dashboards that track legal work volume, spend trends, and process bottlenecks for leadership.
• AI & Automation: Identify and implement emerging AI tools and automation to reduce manual workflows while maintaining appropriate review protocols. 

Qualifications

• 5+ years of total experience in legal operations, contract management, or paralegal roles, with a strong core background (3+ years) in corporate paralegal responsibilities. 
• Experience in a high-growth, late-stage private company (Series B/C/E) or proptech/fintech/real estate environment preferred (public company experience is not required).
• Solid working understanding of key contract terms (indemnification, liability, boilerplate provisions), corporate entity management across multiple jurisdictions, and litigation hold procedures.
• Practical experience with litigation and claims management, including handling matter intake, issuing litigation holds, managing discovery/document collection, tracking critical deadlines, and coordinating with outside litigation counsel.
• Proven ability to partner across business functions, particularly Finance, Accounting, and Human Resources to streamline operational pain points.
• Adaptable "jack-of-all-trades" mindset and self-starter with strong ownership, high discretion, and a natural instinct to systematize and document processes.
• Bachelor's degree or equivalent experience required
• Advanced proficiency in Google Workspace and Microsoft Excel
• Preferred practical exposure to Zip (CLM), Carta (cap table/entity management), DataSite (VDR), Serengeti/Tracker, or Ironclad
• High degree of ownership, attention to detail, and bias toward action
• Curiosity and willingness to use AI, automation, and emerging technologies to improve efficiency while maintaining proper validation and judgment
• Real estate, proptech, fintech, or other regulated-industry experience preferred

This position must be based in the greater Dallas area

Pay Transparency

Our compensation reflects several US geographic markets. The base pay for this position represents the expected salary for this position. Ultimately, in determining your pay it will be based on several factors including location, job-related knowledge, skills, experience and other job related factors.  Roofstock is a total compensation company; the base salary is only a part of our total compensation package.
