We are looking for a highly organized and proactive individual to provide administrative and document management support. In this role, you will work with a high degree of independence, discretion, and judgment to manage priorities, coordinate business activities, maintain critical documents and records, and help ensure the effective flow of information across the organization. You will serve as a key resource for administrative processes, document management, collaboration tools, and day-to-day business operations.

  • Provide document administration support, including coordinating the creation, revision, review, approval, issuance, organization, and retention of controlled documents and records in accordance with company requirements.
  • Maintain document repositories, SharePoint sites, Microsoft Teams content, electronic records, and other information management systems to help ensure information is current, organized, accessible, and maintained appropriately.
  • Coordinate document workflows with document owners, reviewers, and approvers; track revisions and outstanding actions; and follow up to support timely completion of document-related activities.
  • Manage complex calendars, meetings, scheduling, conference rooms, visitor logistics, catering, agendas, presentation materials, and other administrative activities.
  • Coordinate meetings and special projects, including capturing meeting notes, action items, decisions, and follow-up activities.
  • Process expense reports and provide administrative support for spending, invoices, purchase-related activities as applicable.
  • Serve as a key point of contact for leaders, employees, contractors, and external partners by answering questions, resolving administrative issues, and connecting people with the appropriate resources.
  • Support effective communication and information flow across teams and functions by leveraging knowledge of business processes, organizational networks, and available collaboration tools.
  • Utilize Microsoft Office, SharePoint, Teams, and internal business systems to improve productivity, organize information, develop reports, and support team members with routine technology and process questions.
  • Participate in projects and continuous improvement efforts, independently or as part of a team, identifying opportunities to simplify administrative and document-management processes.
  • Help maintain compliance with company policies, information management requirements, Code of Business Conduct expectations, and site safety requirements.
  • Build strong working relationships across organizational levels and contribute to an inclusive, collaborative, and accountable team environment.
  • Provide backup or guidance to other administrative personnel as needed and share knowledge, processes, and best practices across the administrative network.

Qualifications

  • A minimum of a High School Diploma, GED, or equivalent.
  • A minimum of 3 years of relevant administrative, document management, records management, or related experience.
  • Proficiency with Microsoft Office applications and collaboration tools such as Outlook, Excel, Word, PowerPoint, Teams, and SharePoint.
  • Willing and able to occasionally work outside normal business hours when business needs dictate.
  • A minimum requirement for this U.S.-based position is the ability to work legally in the United States. No visa sponsorship/support is available for this position, including any type of U.S. permanent residency (green card) process.

Skills

  • Document & Information Management: Demonstrates strong attention to detail in organizing, maintaining, revising, tracking, and controlling business documents and records while following established information management requirements.

  • Technology Proficiency: Effectively uses Microsoft Office, SharePoint, Teams, and internal business systems and helps others navigate common administrative and technology-related issues.
  • Relationship Building: Establishes trust and productive working relationships across teams, functions, organizational levels, and external partners.
