In this key role, you will provide trusted executive and administrative support within a fast-paced and evolving portfolio, enabling the effective delivery of strategic and operational priorities. Working closely with Executive Director and broader Digital Sydney team, you will manage key communications and meetings, prepare high-quality reports and briefing materials, and ensure the seamless flow of business operations. Success in the role will be driven by your ability to build strong relationships, exercise sound judgement, and deliver proactive, solutions-focused support in a complex and dynamic environment.
Your key responsibilities will be to:
provide high-level executive and administrative support to Executive Director, Digital Transformation, managing complex diaries, coordinating meetings, preparing briefing materials and ensuring the smooth delivery of day-to-day business operations
Mange general administrative support and operational activities for Digital Sydney portfolio , including meeting administration, agenda and paper preparation, minute-taking, action tracking and follow-up to support effective decision-making and accountability
build and maintain strong relationships with internal and external stakeholders, acting as a key point of contact and delivering responsive, solutions-focused support across a diverse portfolio
manage portfolio records, databases, financial administration and reporting activities, ensuring information is accurate, compliant and readily accessible
support the organization of workshops, events, engagement activities and special projects, while identifying opportunities to improve processes, enhance service delivery and contribute to a collaborative, customer-focused culture.
About you
proven experience providing high-level executive and administrative support within a large, complex and fast-paced organisation
strong organisational skills with the ability to manage competing priorities, coordinate complex diaries and support senior stakeholders
experience coordinating meetings, preparing agendas and papers, taking minutes and tracking actions to completion
highly developed communication and stakeholder management skills, with the ability to build effective relationships and influence outcomes
strong computer literacy, including proficiency in the Microsoft office suite, with excellent attention to detail, numeracy and time management skills
relevant tertiary qualifications or an equivalent combination of education, training and demonstrated experience in a similar role.
