About the Role

Part-Time with Potential to Transition to Full-Time

We are looking for a proactive and resourceful Procurement Specialist to support and strengthen our Canadian procurement function.

This role will initially be structured on a part-time basis, with strong potential to transition into a full-time position as our Canadian operations and procurement needs continue to grow.

The successful candidate will play an important role in connecting our Canadian business with our Headquarters Procurement team. This person will be expected to learn and understand our global procurement processes, navigate the complexities of cross-border collaboration, and help ensure that local Canadian business needs are addressed effectively within the broader corporate procurement framework.

At the same time, we are looking for someone who can bring strong Canadian market knowledge and local expertise in procurement, vendor management, sourcing, and contract administration. The role requires someone who can balance global processes with local requirements and help build practical, efficient, and scalable procurement practices for Canada.

The ideal candidate is organized, commercially minded, solutions-oriented, and comfortable working across different teams, cultures, processes, and time zones. Mandarin Chinese is considered a strong asset given the significant interaction with our Headquarters team.

KEY RESPONSIBILITIES

  • Learn, understand, and become a local subject matter resource on the company’s global procurement policies, procedures, approval workflows, and systems.
  • Serve as a key liaison between the Canadian business and the Headquarters Procurement team, ensuring clear communication, timely follow-up, and effective coordination of procurement activities.
  • Help navigate and resolve complexities arising from cross-border procurement processes, including differences in local business practices, vendor requirements, documentation, timelines, and approval processes.
  • Translate Canadian business requirements into clear procurement requests that can be effectively processed through global procurement channels.
  • Provide local expertise and guidance on Canadian sourcing, vendor selection, purchasing practices, contract administration, and supplier management.
  • Source, identify, and evaluate local Canadian vendors and service providers based on cost, quality, service capability, compliance, reliability, and business requirements.
  • Manage quotation and proposal processes, including gathering requirements, obtaining competitive bids, conducting comparisons, and supporting vendor selection.
  • Coordinate vendor onboarding, including collection and review of required business information, banking details, contracts, compliance documentation, and internal approvals.
  • Support the end-to-end contract management process, including coordination with vendors, Legal, Finance, business stakeholders, and Headquarters teams.
  • Maintain visibility over contract terms, renewal dates, service periods, pricing arrangements, and key vendor obligations.
  • Help ensure that contracts and procurement arrangements reflect Canadian business, regulatory, operational, and commercial requirements.
  • Track procurement requests from initiation through approval, purchase, contract execution, delivery, invoicing, and completion.
  • Maintain organized and accurate procurement records, vendor files, contracts, quotations, purchase documentation, and approval records.
  • Partner with Finance on invoice processing, payment coordination, vendor setup, and reconciliation of procurement-related documentation.
  • Monitor vendor performance and support the resolution of service, delivery, pricing, contract, or invoicing issues.
  • Build productive relationships with local vendors and internal stakeholders while maintaining appropriate procurement controls and independence.
  • Identify gaps, inefficiencies, or communication issues in the procurement process and recommend practical improvements.
  • Help improve transparency, turnaround time, accountability, and stakeholder experience across Canada–HQ procurement activities.
  • Support procurement needs across functions including IT, Marketing, Compliance, Operations, Office Administration, Finance, and other corporate functions.
  • Contribute to the ongoing development of a scalable Canadian procurement function as the organization grows.

Requirements

  • Diploma or degree in Supply Chain Management, Procurement, Business Administration, Finance, Operations, or a related field.
  • Minimum 5 years of relevant experience in procurement, sourcing, purchasing, vendor management, contract administration, supply chain, or a related function.
  • Hands-on experience managing vendor relationships, sourcing activities, quotations, proposals, contracts, purchase requests, and vendor onboarding.
  • Strong knowledge of Canadian procurement practices, local vendors, supplier management, and commercial practices.
  • Experience supporting or managing contract lifecycle activities, including contract coordination, renewals, pricing terms, vendor obligations, and documentation.
  • Experience working within a multinational organization or coordinating with an overseas headquarters or regional procurement team is strongly preferred.
  • Demonstrated ability to learn and navigate complex corporate procurement processes, policies, approval workflows, and systems.
  • Strong understanding of the challenges associated with cross-border collaboration, including differences in business practices, communication styles, processes, timelines, and local requirements.
  • Strong problem-solving skills with the ability to identify process gaps, work through ambiguity, and develop practical solutions.
  • Strong commercial judgment and the ability to evaluate vendors based on pricing, quality, service capability, reliability, risk, and overall business value.
  • Excellent stakeholder-management and communication skills, with the ability to work effectively with local business teams, Headquarters functions, Finance, Legal, and external vendors.
  • Strong organizational and project-management skills with the ability to manage multiple procurement activities, deadlines, and priorities simultaneously.
  • Excellent attention to detail, particularly when reviewing contracts, pricing, vendor documentation, approval records, and payment information.
  • Comfortable working independently and taking ownership of procurement matters from initiation through completion.
  • Proficiency in Microsoft Office, particularly Excel, Word, PowerPoint, and Outlook.
  • Fluency in English is required.
  • Mandarin Chinese is strongly preferred due to frequent interaction and collaboration with our Headquarters Procurement team.

  • Confident working independently while knowing when to escalate or engage other stakeholders.
  • Organized, persistent, and comfortable following up across multiple teams to keep requests moving.
  • Commercially minded, practical, and focused on balancing cost, risk, service, and business needs.
  • Interested in helping establish and grow a professional procurement function in Canada.

GROWTH OPPORTUNITY

This position is expected to begin on a part-time basis, but it has clear potential to develop into a full-time role as the Canadian business grows and procurement volume increases.

As the function develops, the successful candidate may take on broader ownership of local sourcing, vendor management, contract lifecycle management, procurement governance, process improvement, and strategic supplier relationships.
