We are currently looking for a Travel Manager to support a high-profile entrepreneur with an intensive international schedule. This role focuses on personal support, complex travel coordination, and lifestyle management at the highest level of confidentiality and service.
This is not a traditional Travel Manager position. It is a high-intensity, service-oriented role that demands exceptional organization, resilience, and the ability to anticipate needs before they are expressed. The ideal candidate doesn’t just execute — they think ahead, protect the principal’s time, and free him to focus entirely on his business.
Key Responsibilities:
Own end-to-end planning of all trips and business travel — flights, transfers, hotels, and on-site activities — from first booking to return.
Take full ownership of the travel process and its outcomes, with minimal oversight required.
Organize and coordinate all international travel end-to-end, including complex itineraries with multiple flight segments within a single trip.
Book and manage private aviation — charter selection, scheduling, and coordination with operators.
Source and book hotels globally, based on the Principal’s travel rider, matching property, room category, and location to the principal’s preferences and trip purpose.
Research and book restaurants in different cities and countries, accounting for cuisine preferences, occasion, and privacy requirements.
Monitor passport validity, visa status, and all required travel documentation.
Arrange visa applications and renewals across jurisdictions.
Prepare packing lists tailored to climate, dress code, event type, and length of stay; manage all luggage logistics.
Coordinate transfers, meet-and-greet services, and on-site logistics.
Liaise with drivers, private aviation operators, airlines, hotels, and local service providers.
Manage airline loyalty programs, hotel memberships, lounge access, and priority services.
Build contingency plans for flight cancellations, hotel issues, or last-minute itinerary changes.
Manage urgent or crisis situations during travel calmly and efficiently.
Requirements:
3+ years as a Personal Assistant, Lifestyle Manager, Travel Manager, or similar.
Proven experience supporting UHNWIs, founders, or executives with intensive, travel-heavy schedules.
Strong expertise in complex international travel: visas, passports, multi-leg itineraries, last-minute changes.
Hands-on experience booking hotels, private aviation, and restaurants across multiple destinations.
Highly structured, able to manage multiple priorities and frequent changes at once.
Full ownership mindset: proactive, service-oriented, able to anticipate needs without supervision.
Strong problem-solving skills; calm under pressure in non-standard or crisis situations.
High emotional intelligence, discretion, and an unwavering sense of confidentiality.
Excellent communication skills and cross-cultural awareness.
Willing to work a flexible, non-standard schedule, including evenings, weekends, and holidays when required.
Fluent in Russian and English (written and spoken).
Based in Cyprus, or willing to relocate to Cyprus following successful completion of the probation period.
