About the role
We are looking for an Office Manager & Receptionist to be the welcoming face of our manufacturing site and keep its day-to-day administration running smoothly. You will run the front desk, manage visitor and contractor access, and support site operations, facilities, administration, and purchasing, so our production and engineering teams can stay focused on building products. This is a hands-on, fully onsite role that works closely with the Operations leadership, Production, EHS, HR, and Finance, and handles confidential information with discretion.
Responsibilities
Serve as the first point of contact at the factory front desk: greet and assist visitors, customers, suppliers, and contractors; answer, screen, and route phone calls and general inquiries.
Manage site access and visitor control, including sign-in logs, badges, NDAs, and safety briefings, and ensure visitors and contractors follow policies, cleanroom, and security requirements.
Receive, log, and distribute mail, courier packages, and deliveries; coordinate with Receiving/Warehouse on inbound shipments and related paperwork.
Manage day-to-day administration of the site, including offices, meeting rooms, break rooms, and locker/changing areas, keeping them clean, stocked, and ready for use.
Maintain inventory of office, pantry, and general consumables.
Coordinate facilities and vendor services. Serve as the primary contact for building management.
Support HR administration for the site workforce: prepare onboarding logistics for new hires (badges, PPE, workstation, orientation), maintain employee files and shift/attendance records, and post required workplace notices.
Coordinate site purchasing and expenses. Source quotations, raise purchase requests, track site-related spending, and coordinate invoices and payment follow-ups with Finance and Procurement in line with company processes.
Prepare for and coordinate customer visits, factory tours, supplier meetings, including meeting rooms, catering, and visitor logistics.
Arrange travel and hotel bookings for visiting colleagues, customers, and guests.
Qualifications
At least 5 years of experience in office management, reception, or administrative roles, preferably in a manufacturing, industrial, or high-tech production environment.
Familiarity with factory operations and requirements such as visitor safety, EHS programs, and quality audits.
A professional, friendly front-desk presence and excellent communication skills, with the ability to work effectively with production staff, engineers, leadership, vendors, and visitors.
Strong organizational and time management skills, with the ability to multitask and prioritize in a fast-paced, dynamic environment.
Proficiency in Microsoft Office; experience with ERP, purchasing, or visitor management systems is a plus.
A high level of discretion, attention to detail, and a strong sense of accountability when handling confidential employee, customer, and company information.
Able to work fully onsite, with occasional flexibility to support deliveries or visits outside regular hours.
A proactive, can-do attitude, willing to tackle tasks of any size, and a genuine desire to help others.
