 Responsibilities

1. Performance Improvement Plan Coordination – 45%

• Manage operational coordination of PIP cases initiated through approved HR processes and channels.
• Validate completeness of requests and required documentation against established process requirements.
• Coordinate with managers, HR Partners, and Employee Relations stakeholders to support timely initiation and administration of PIP activities.
• Support preparation, distribution, and tracking of approved PIP documentation using standardized templates.
• Maintain accurate records of PIP start dates, review milestones, progress checkpoints, and planned completion dates.
• Send timely reminders to managers and designated HR stakeholders regarding scheduled review meetings and pending actions.
• Monitor outstanding documentation, acknowledgements, and required follow-ups.
• Coordinate extensions, modifications, or closure documentation only after appropriate authorization.
• Maintain accurate and confidential case records in approved HR systems.
• Escalate overdue actions, process exceptions, employee concerns, or policy-related questions to designated HR or Employee Relations Partners.
• Support reporting on PIP case volumes, process timeliness, milestone adherence, and administrative completion.

2. New Leader Integration Program Delivery – 35%

• Manage New Leader Integration service requests received through ServiceNow.
• Validate eligibility for People Services assistance in accordance with established program guidelines.
• Guide newly hired or promoted leaders through the Leader Integration Toolkit and available service options.
• Provide coaching on standard integration materials and preparation activities.
• Coordinate creation and distribution of pulse surveys for eligible leader teams.
• Monitor survey participation and analyze responses using approved tools and methodologies.
• Prepare structured feedback summaries highlighting common themes and potential alignment gaps.
• Coordinate discussions with leaders to review survey findings and prepare integration meetings.
• Facilitate standard leader-team integration sessions when requested and authorized.
• Support documentation of agreed follow-up actions while maintaining leader accountability for implementation.
• Coordinate with the Talent COE and HR Business Partners when specialist intervention is required.
• Ensure appropriate ServiceNow case documentation and closure.

3. HR Stakeholder Coordination – 10%

• Act as an operational point of contact for managers, HR Business Partners, Employee Relations, and Talent COE stakeholders.
• Provide process guidance, status updates, and administrative support.
• Coordinate cross-functional handoffs and escalate unresolved issues.
• Maintain professional relationships with senior leaders and regional HR teams.
• Ensure sensitive information is shared only with authorized stakeholders.
• 4. Service Delivery, Reporting & Continuous Improvement – 10%
• Maintain operational trackers, service dashboards, and process documentation.
• Monitor established SLAs, turnaround times, and case quality.
• Identify opportunities to simplify workflows and improve manager self-service.
• Support development of ServiceNow knowledge articles and standard operating procedures.
• Identify automation opportunities for notifications, tracking, and reporting.
• Support audit readiness through accurate documentation and appropriate access controls.
• Participate in process reviews and continuous improvement initiatives.
