What you'll do

The Maintenance Scheduler is responsible for developing, maintaining, and communicating maintenance schedules to support preventative maintenance compliance, equipment reliability, and efficient utilization of maintenance resources.

The role coordinates maintenance activities between Operations, Maintenance Supervisors, and contractors to ensure work is scheduled safely, efficiently, and with minimal impact to operations. The Scheduler is also responsible for managing maintenance vacation schedules and supporting minimum staffing coverage requirements. The Maintenance Scheduler provides basic planning support during Planner absences, including work order creation, work order updates, and maintenance record administration to ensure continuity of maintenance operations.

Maintenance Scheduling & Work Package Coordination

• Develop and maintain maintenance work schedules using approved work orders, PM requirements, labor availability, operational constraints, and business priorities.
• Schedule and coordinate contractors performing preventative maintenance and inspection services.
• Build and issue a multi-day maintenance work packages tailored to available crew resources and maintenance priorities.
• Coordinate work package content with Maintenance Supervisors, Operations, and other stakeholders to ensure scheduled work can be executed safely and efficiently.
• Balance maintenance workloads based on available manpower, contractor availability, equipment access requirements, operational constraints, and maintenance priorities.
• Provide Supervisors with sufficient planned work to maintain schedule flexibility while supporting PM compliance and backlog reduction.
• Communicate contractor schedules to Operations, Maintenance Supervisors, and affected stakeholders.
• Track completion of contractor activities and reschedule missed services as required.
• Monitor completion of scheduled work and support the development of future work packages.

Vacation & Resource Coverage Management

• Maintain the maintenance vacation trade calendar.
• Track approved vacations, training, and planned absences.
• Coordinate vacation schedules to support minimum staffing requirements.
• Identify potential coverage gaps and communicate concerns to Maintenance Leadership.
• Support scheduling adjustments when staffing availability impacts planned maintenance activities.

Communication & Stakeholder Support

• Maintain effective communication with Supervisors, Operations, Vendors, and Contractors.
• Participate in maintenance scheduling meetings.
• Identify scheduling risks and resource constraints.
• Communicate issues impacting PM compliance, staffing coverage, or maintenance execution.

Required Experience & Skills

• 3+ years maintenance experience in a Distribution Centre, manufacturing, industrial, or facility maintenance environment.
• Working knowledge of Maximo or a comparable CMMS.
• Demonstrated understanding of maintenance scheduling principles.
• Strong organizational and time management skills.
• Strong communication and coordination skills.
• Proficiency in Microsoft Excel, Word, Outlook, and Teams.
• Ability to manage multiple priorities in a fast-paced environment.
• Ability to work independently with minimal supervision.

What you bring

• Maintenance scheduling experience.
• Electrical, mechanical, or facility maintenance background.
• Familiarity with distribution centre operations.
• Maintenance Management Professional (MMP) certification.
• Society for Maintenance & Reliability Professionals (SMRP) certification.

Hours of Work

Monday – Friday, 8 hours per day

Our typical hiring range is between $70,000 and $80,000. Salary decisions are also dependent on other factors such as your experience, job-related knowledge, industry benchmarks, internal equity and other role-specific requirements.
