About the Role
As a Lead HIM Technician, you will play an important role in supporting the day-to-day operations of the Health Information Management (HIM) department. You’ll help ensure work is completed accurately, efficiently, and within established service-level expectations while serving as a go-to resource for team members and supporting the training and development of HIM staff.
This is a hands-on leadership opportunity for someone who enjoys working in a fast-paced environment, solving problems, maintaining high standards for quality and confidentiality, and helping a team succeed.
What You’ll Do
Lead Daily HIM Operations
- Monitor daily workflow and coordinate the processing of incoming chart requests, chart retrieval, chart re-filing, loose document filing, purging, driving processes, and shipment preparation.
- Prioritize and adjust work assignments as needed to ensure daily processes are completed accurately and within established timeframes.
- Monitor workloads and proactively communicate potential backlogs or operational concerns to management.
- Serve as a first point of contact for team members with questions regarding day-to-day HIM processes and procedures.
- Assist with departmental coverage during periods of illness, vacation, position vacancies, or other staffing needs.
- Assist with locating missing charts and resolving issues that may impact workflow or timely record retrieval.
- Support special projects and other initiatives requested by HIM leadership or administration.
Support Training & Team Development
- Assist with the orientation and training of new HIM employees.
- Provide ongoing training and cross-training to HIM staff to promote consistent, accurate, and efficient processes.
- Serve as a resource and subject matter expert for team members regarding daily workflows and procedures.
- Help foster a collaborative team environment focused on quality, productivity, and excellent service.
Monitor Quality & Productivity
- Conduct weekly quality and productivity audits of key HIM processes, including chart retrieval, chart re-filing, loose document filing, purging, and driving activities.
- Document audit results, identify trends or opportunities for improvement, and communicate findings to management.
- Maintain accurate daily productivity and audit statistics.
- Help ensure department processes consistently meet established quality and productivity expectations.
- Identify opportunities to improve workflows, processes, procedures, and overall departmental efficiency.
Protect Patient Information & Support Compliance
- Maintain strict security and confidentiality of health information and comply with all applicable record-access and review requirements.
- Follow local, state, and federal HIPAA regulations and organizational policies governing the privacy and security of patient information.
- Consult with management regarding unusual, sensitive, or non-routine requests involving health information.
- Assist customers, co-workers, care providers, and other internal stakeholders with HIM-related questions and requests.
- Answer department telephone calls and provide professional, courteous service as needed.
What You’ll Bring
- Experience working in Health Information Management, medical records, or a related healthcare environment.
- Interest in building a long-term career in Health Information Management.
- Currently enrolled in an RHIT program or interested in enrolling in an RHIT program.
- Strong understanding of HIM workflows, including chart retrieval, filing, record maintenance, and related processes.
- Ability to prioritize competing responsibilities and adjust workflows based on departmental needs.
- Strong attention to detail and commitment to accuracy and quality.
- Ability to monitor productivity and quality metrics and identify opportunities for improvement.
- Strong communication and interpersonal skills with the ability to work effectively with team members, leadership, care providers, and customers.
- Ability to train, coach, and support team members in day-to-day processes.
- Sound judgment when handling confidential or unusual requests.
- Working knowledge of HIPAA requirements and the importance of protecting confidential health information.
- Ability to work independently while also contributing effectively as part of a team.
- Strong organizational and problem-solving skills.

Additional Responsibilities
Perform other related duties and special projects as assigned or requested by HIM leadership or administration.
Savista is required by state-specific laws to include the salary range for this role when hiring a resident in applicable locations. The salary range for this role is $21.00-$27.00 per hour. However, specific compensation for the role will vary within the above range based on many factors including but not limited to geographic location, candidate experience, applicable certifications, and skills.
