The Role..
The HR Systems Manager is the UK owner of Dayforce, Soho House's Human Capital Management (HCM) platform, covering core HR, payroll interface, time & attendance, and absence management for our House and support office population. This role sits at the intersection of People & Development, Payroll, Finance and IT, ensuring Dayforce is configured accurately, kept compliant with UK employment and tax legislation, and used to its full potential to give House teams and P&D leadership reliable, timely people data.
This is a hands-on systems and process role for someone who enjoys solving configuration problems, translating legislative and policy change into system logic, and building the reporting that helps the business make good people decisions. It will also play a key part in preparing Dayforce for upcoming UK tipping/tronc legislation (the “Making Work Pay” reforms), working closely with the Troncmaster, Reward and Compliance teams.
Key Responsibilities..
System ownership & administration
- Act as the UK system owner and lead administrator for Dayforce, managing configuration, security roles, workflows and business process set-up across HR, Payroll, Workforce Management, Analytics, Benefits, Talent Acquisition & Management etc.
- Manage the end-to-end release cycle for Dayforce updates and new features: reviewing release notes, planning and executing UAT, and coordinating go-live communications with affected teams.
- Own data integrity within the system — running regular audits, resolving discrepancies, and maintaining a clean, single source of truth for UK employee data.
- Manage the day-to-day relationship with Dayforce (Ceridian) support and account teams, logging and tracking tickets through to resolution.
Legislative & compliance configuration
- Configure and test Dayforce for UK legislative changes affecting pay and employment (e.g. National Minimum/Living Wage upratings, tax and NI changes, statutory leave updates).
- Partner with the Troncmaster, Reward and Compliance teams to configure Dayforce ahead of the incoming UK tipping legislation and Code of Practice, supporting accurate, auditable tronc and gratuity administration.
- Ensure system configuration and data handling comply with UK GDPR, including access controls, retention rules and data subject request support.
Data, reporting & insight
- Build and maintain dashboards and standard reports for P&D leadership, Finance and House operations (headcount, turnover, absence, labour cost, compliance trackers).
- Respond to ad hoc data requests from the business, ensuring outputs are accurate and delivered on time.
- Identify data quality or process gaps proactively and recommend fixes.
Stakeholder partnership, training & change
- Act as the day-to-day point of contact for HR, Payroll, Talent Acquisition and House management teams on all things Dayforce.
- Design and deliver training and user guides for HR partners, House managers and FOH team leads, and maintain a network of local super-users across Houses.
- Manage a structured change control and testing process for any configuration change, however small, before it reaches production.
Integrations & continuous improvement
- Manage and monitor integrations between Dayforce and third-party systems (recruitment ATS, benefits providers, finance systems, payroll) via APIs and file feeds.
- Drive automation of manual, repetitive HR admin processes, working with P&D and IT to scope and deliver improvements.
- Support wider People Systems & Technology projects, including new module rollouts, acquisitions/onboarding of new Houses onto Dayforce, and system integration work.

HR Projects & Administrative excellence
- Partner with the People team and other business stakeholders to deliver initiatives across areas, including, but not limited to organisational design, employee engagement, talent management, wellbeing, reward and workforce planning by ensuring systems, data, and reporting capabilities align with project objectives.
- Provide administrative support and subject matter expertise for People-led, companywide projects, including but not limited to Annual Pay Review administration, external audits and other key cyclical activities.
Essential Skills Required..
- Proven hands-on experience administering Dayforce (or a comparable HCM/payroll platform such as Workday, SAP SuccessFactors or ADP) in a multi-site UK business.
- Solid working knowledge of UK payroll fundamentals, HR data structures and core UK employment legislation.
- Track record of managing system upgrades, UAT cycles and stakeholder training for non-technical users.
- Strong analytical skills, comfortable building reports and translating raw data into insight for senior stakeholders.
- Confident stakeholder management across HR, Payroll, Finance and IT, including with senior leaders.
- Working understanding of UK GDPR and data protection principles as applied to employee data.
- Excellent attention to detail and a methodical approach to testing and change control.
Desirable knowledge and skills..
- Experience of tronc, gratuity or discretionary service charge administration, particularly ahead of the UK tipping legislation reforms.
- Experience in hospitality, retail or another multi-site, high-volume people environment.
- Project management experience, ideally having led or significantly contributed to an HCM implementation or major configuration project.
- Formal Dayforce certification(s).
