Job Responsibilities:
• Supports CEO in various highly complex tasks, strategic projects and PMO activities and processes by assisting in administrative, organizational and operational matters as needed and by staying knowledgeable of corporate policies, exercising autonomy within established procedures.
• Serves as a liaison between the Executive(s) and other stakeholders by handling incoming and outgoing correspondence including emails, letters and phone calls with tact and diplomacy while ensuring prioritization and by screening visitors and acts as a gatekeeper, handling highly sensitive or confidential information with discretion.
• Collects and analyzes data to prepare comprehensive reports, presentations, and executive summaries, supporting informed decision-making at the highest level and creates complex draft letters, emails, office documents including meetings agendas, minutes and follow-up action items that align with the Executive(s)’ strategic objectives.
• Identifies and maintains sophisticated electronic and physical records management systems for the Executive(s), ensuring advanced retrieval systems and strict compliance with organizational policies and regulatory requirements.
• Leads organization of high-profile events, workshops, and conferences, as required by the Executive(s) including preparing necessary materials, ensuring technical setup, overseeing all logistical elements, liaising with senior stakeholder etc. to deliver a well-managed and successful outcome.
• Monitors the processing of expense reports by collecting, reviewing, and verifying receipts and documentation to ensure accuracy and compliance with organization policies and procedures and assists in managing budgets (including travel expenses) and providing financial insights to optimize spending as directed by the Executive(s).
• Supports in developing and implementing strategic communication plans to effectively disseminate global and local announcements and important updates to and from the Executive(s) within the department and organization and supports in managing crisis communication to ensure that all stakeholders are kept informed.
• Facilitates continuous improvement in processes to enhance efficiency, reduce costs, and improve overall performance by continuously assessing and refining the processes and supports in orchestrating the performance management process that drive business growth and operational excellence, ensuring compliance with all relevant policies, regulations, and industry standards.
• Supports change management/transformation initiatives by developing and implementing strategies that facilitate smooth transitions during organizational changes, ensuring minimal disruption and maximum adoption of new processes.
• Supports the General Management team by organizing and managing the operational cadence, identifying potential issues, and driving the resolution of assigned tasks to meet business objectives and by managing and developing employees to achieve organizational goals, all while fostering a culture of impact with care.
• Facilitates and delivers multidisciplinary projects and drives the successful implementation of strategic initiatives by coordinating with cross-functional teams, setting clear objectives, and ensuring adherence to timelines, budgets, and quality standards.

Minimum required Education:
Bachelor's / Master's Degree in Business Administration, Engineering, Project Management, Operations Management or equivalent.

Minimum required Experience:
Minimum 5 years of experience with Bachelor's OR Minimum 3 years of experience with Master's in areas such as Project Management, Operational Excellence, Commercial Operations, Quality Assurance, Administrative Support or equivalent.

Compensation & benefits
Doing meaningful work should come with fair, transparent rewards. The base salary range for this role is €78.187–€130.312. We determine pay within the range using objective factors, like the skills the role requires, your relevant experience and the responsibility you'll have in this role, alongside internal equity and local market considerations. This role is eligible for 3% bonus, with your rewards linked to KPIs/company results. We’ll share the full approach with you during the interview process, so you can make a clear, informed decision.

How we work together
We believe that we are better together than apart. For our office-based teams, this means working in-person at least 3 days per week. Onsite roles require full-time presence in the company’s facilities. Field roles are most effectively done outside of the company’s main facilities, generally at the customers’ or suppliers’ locations.
