POSITION GOALS

·        Accountable for the successful delivery of a comprehensive range of financial services & support as defined in the Client Contract

·        Manage the day-to-day Greater China (GC) financial and accounting operations with particular focus on the client’s reporting requirements

·        Monitor and ensure efficient use of resources, manage vendor invoicing function along with accounts payable and receivable function

·        A strategic partner with the JLL China Operations teams as well as with the client Team

DUTIES AND RESPONSIBILITIES

Business Partnering

·        Support Finance Manager in handling business, operational, financial transactions & risk mitigation

·        Identify and implement process improvements

·        Support Operations teams in day-to-day transactions, work status review, forecasting & coordinating for SAP/JLL vendor invoices

·        Support site lead on NDC, TCS & TDS certification collection

Invoice, Payments & Billings

·        Maintaining Purchase Orders Tracker for JLL & client

·        Monthly review with Ops team on undelivered services & ensuring the closure of PO items for same

·        Coordination between Operations & Vendor team towards challenges with billing

·        Work and coordinate with Goods Receipt team against vendor invoices to ensure prompt vendor payments

·        Following up with vendors for regular & ad hoc invoice submission

·        Work with Finance Manger to maintain all necessary guidelines and manuals associated with the accounts payable / receivable process

·        Accountable for the timely Submission of vendor invoices & coordination with client & vendor for intime invoice processing

Reporting/Forecasting/Planning

·        Assisting in monthly, quarterly & ad hoc client reporting requirements for GC Portfolio with inputs from operations team

·        Monthly Accrual & forecasts for Opex and reactive works

·        Maintaining vendor Ad hoc invoice tracker and include procurement tracker

Data Management, Policies & Procedures & Audit

·        Ensure data integrity of the systems across the region and audit data from time to time

·        Ensure that appropriate process and systems controls are in place and maintained to guarantee the integrity of all transactions

·        Ensure that all financial accounting and reporting is audit worthy and in keeping with recognized quality management processes

·        Ensure all finance staff are well trained on the financial systems & are effectively able to extract data

KEY PERFORMANCE MEASURES

§  Ensure compliance with all legislative requirements and client contractual obligations.

§  Support the leadership team in achieving all relevant KPI’s throughout the term of the Contract.

§  That the Client Satisfaction review is above “Satisfactory”;

§  IPMP objectives for client service, employee management, self development, and financial targets are met.
