About the Role

As a Facilities / Maintenance Analyst Senior, you will be responsible for overseeing day-to-day facility operations, maintenance activities, and workplace services while driving data-driven decision-making through reporting and analytics. The role focuses on monitoring operational performance, managing facility service delivery, developing Power BI dashboards, and generating actionable insights to improve workplace efficiency, compliance, and asset reliability. You will work closely with facility teams, vendors, and business stakeholders to ensure smooth operations, service excellence, and effective management reporting.

What You Will Be Doing

• Monitor and coordinate daily facility operations, maintenance activities, and workplace services to ensure uninterrupted business operations.
• Track preventive and corrective maintenance activities and ensure timely closure of work orders and service requests.
• Develop, maintain, and enhance Power BI dashboards for facilities, maintenance, occupancy, energy consumption, and operational performance reporting.
• Generate daily, weekly, and monthly MIS reports highlighting key facility KPIs, trends, risks, and action items.
• Analyze facility operational data to identify performance gaps, cost-saving opportunities, and process improvement initiatives.
• Monitor vendor performance, service-level compliance, and maintenance deliverables through data-driven reporting.
• Support asset management activities, including asset tracking, maintenance records, and lifecycle monitoring.
• Manage work order management systems, ensuring accurate data capture, reporting, and dashboard visibility.
• Coordinate facility inspections, compliance audits, and maintenance reviews, ensuring adherence to safety and regulatory requirements.
• Track critical infrastructure performance, including electrical systems, HVAC, UPS, fire safety systems, and workplace utilities.
• Prepare management presentations and executive reports to communicate operational performance and key business insights.
• Partner with cross-functional teams to support workplace readiness, business continuity, space utilization, and operational excellence initiatives.
• Ensure facility documentation, maintenance records, operational procedures, and reporting databases remain updated and accurate.

What You Bring

• Experience in facilities management, building operations, maintenance coordination, or workplace services.
• Strong hands-on experience with Power BI, data visualization, dashboard development, and management reporting.
• Proficiency in analyzing operational and maintenance data to drive performance improvements and informed decision-making.
• Knowledge of facility management systems, work order platforms, and asset management processes.
• Experience preparing MIS reports, KPI scorecards, trend analysis, and executive-level presentations.
• Strong understanding of facility infrastructure, including electrical systems, HVAC, UPS, fire and life safety systems, and workplace services.
• Ability to monitor and manage vendor performance through measurable service metrics and reporting.
• Strong analytical, problem-solving, stakeholder management, and communication skills.
• Proficiency in Microsoft Excel, Power Query, Power BI, and other reporting tools.
• Demonstrated experience managing facilities, building operations, maintenance programs, or related operational functions.
• Strong knowledge of building systems, utilities, mechanical equipment, and facility infrastructure.
• Experience developing and implementing preventive maintenance and asset management strategies.
• Ability to analyze operational data, identify root causes, and drive process improvements.
• Experience managing contractors, vendors, and service-level performance.
• Strong project management skills with the ability to lead multiple initiatives simultaneously.
• Knowledge of workplace safety practices, regulatory compliance requirements, and risk management principles.
• Effective communication, stakeholder management, problem-solving, and decision-making skills.
• 12-15 years of experience in Facility operations.

Preferred Qualifications

• Postgraduate in any stream.
• Knowledge of sustainability, energy management, and building efficiency programs.
• Experience managing facility renovation, expansion, or infrastructure upgrade projects.
• Familiarity with performance reporting, business analytics, and maintenance KPI development.
