Job Overview


This position provides key administrative functions and logistical support to the Executive Vice President and Chief Operating Officer (EVP/COO) and supports the Senior Associate VP and Chief of Staff (CoS) in the management and execution of strategic priorities. The Executive Coordinator is a cross-functional and self-directed team player who takes initiative, anticipates needs, ensures consistent high quality products and materials, and adapts to different situations. This position acts as a trusted advisor to the COO and CoS in office initiatives and must maintain the highest level of confidentiality with sensitive university matters.

 

This position is responsible for the day to day operations of the Office of the COO (OCOO) as they relate to scheduling, planning, meeting facilitation, and team task prioritization.

This position interfaces with many internal and external colleagues and shares the responsibility of response coordination with the CoS. Additionally, this role executes and supports regular annual meetings and events as well as special projects as assigned.  

 

Work Interactions and Work Mode Designation

This position reports to the Senior Associate Vice President and Chief of Staff.

 

The Executive Coordinator interfaces directly with the COO and their direct reports. They manage the complex needs of the EVP/COO, and consequently, this position is critical to the proper functioning of the EVP/COO’s office. They must gain a firm grasp of the organization of the EVP/COO’s organization, and of the University more broadly and maintain a strong working relationship with offices throughout the University.

 

This is a highly visible position who interacts on a regular basis with internal as well as external constituencies including faculty, staff, students, alumni, University officials, local, national and international government officials and VIP dignitaries. As such, the professionalism with which this person performs her or his duties impacts the impression that faculty, staff, students and visitors have of the EVP/COO’s organization.

 

The Executive Coordinator interacts closely with all direct reports of the EVP/COO. Additionally, this position interacts with all levels of University leadership, counterparts in other offices, Board members and their representatives, and external colleagues.

 

This position has been designated as on-campus. Work on both the Hilltop Campus and the Capitol Campus each week will be required, depending on the schedule of the EVP/COO. Please note that work mode designations are regularly reviewed in order to meet the evolving needs of the University.  Such review may necessitate a change to a position’s mode of work designation. Requirements and Qualifications

This position requires a bachelor’s degree and three to five years of progressively complex administrative and customer service experience supporting senior leadership or C-level executive(s). Excellent written and oral communication skills, including grammar, spelling and composition are necessary. Candidate must have exceptionally strong organizational skills and analytical abilities, and must also demonstrate proven interpersonal skills and experience providing complex administrative support in a high profile environment with courtesy, professionalism, diplomacy, efficiency and confidentiality. Must be able to effectively manage and prioritize multiple tasks, understand stakeholder needs, and work under pressure. Experience with project management is preferred.

 

This position requires proficiency in the use of standard office equipment such as printers, copiers, faxes, and scanners as well as excellent skills with standard office productivity software including Gmail, Google Calendaring and other applications, Microsoft Office Suite (MSWord, Excel, Outlook and PowerPoint), including the use of advanced formatting of Google docs/Word, Google slides/PowerPoint, and Google sheets/Powerpoint.

 

The ideal candidate is extremely organized, flexible and creative, and able to work with a variety of personalities and constituencies to meet the demands of the job. She or he is a proactive self-starter who will also take direction and feedback from supervisors. This person proactively engages with, learns and communicates with evolving technologies to enhance the productivity of the EVP/COO and her or his team. The ideal candidate will be a trusted member of an essential team.

Pay Range:

The projected salary or hourly pay range for this position which represents the full range of anticipated compensation is:

$66,783.00 - $126,720.23

Compensation is determined by a number of factors including, but not limited to, the candidate’s individual qualifications, experience, education, skills, and certifications, as well as the University’s business needs and external factors.
