About Yousician

Yousician builds apps that teach the world to play music: Yousician (guitar, piano, bass, ukulele, singing) and GuitarTuna. We are a team across Helsinki and Berlin, and our Helsinki office is the company’s centre of gravity.

Why this role exists

Our CEO splits his time between Helsinki, Berlin and Japan, and his time is the company’s scarcest resource. As his Executive Assistant, you keep his calendar, travel and meetings running smoothly so he can focus on what matters most. You work closely with him and the leadership team, handle confidential matters daily, and act as a trusted extension of the CEO’s office. Alongside that, you help keep our Helsinki office and day-to-day admin running, using AI and modern tools to work efficiently.

What you will do

• Calendar and scheduling: Own the CEO’s calendar across Helsinki, Berlin and Japan time zones, protect his focus time, and balance competing priorities.
• Meetings: Prepare agendas and materials, take minutes, and track follow-ups and action items through to completion.
• Travel: Plan and book international trips end to end, including itineraries, changes on short notice and expenses.
• Communication: Be a professional and approachable first point of contact for internal and external stakeholders, and handle correspondence on the CEO’s behalf.
• Office and admin: Keep the Helsinki office running and support general admin such as invoices, expense handling, vendors, onboarding logistics and team events.
• Automation & AI: Use AI and tools to make repetitive admin faster.

What you bring

• Proven experience as an Executive Assistant supporting a CEO or other senior executive, ideally in an international company.
• Absolute discretion and professionalism with confidential and sensitive information.
• Excellent organisation, time management and attention to detail: many moving parts stay on track and nothing slips.
• The ability to stay calm, prioritise and deliver under pressure and tight timelines.
• Social savvy: you build trust easily, read situations well and represent the CEO with confidence.
• Fluent Finnish and English, written and spoken. (Japanese is not required.)
• Global curiosity and comfort working across cultures.
• Flexible working hours, including occasional early mornings for Japan time zones.
• Comfortable with Google Workspace and Slack, and quick to learn new tools.
• A proactive, service-minded attitude: you anticipate needs and solve problems before they reach the CEO.

Strong signals

• Experience supporting an executive who travels frequently or works across Europe and Asia.
• You already use AI tools to work faster.
• Experience in a tech or scale-up environment.

• Compensation: competitive, based on experience.
• Location: Helsinki office.
• Start: as soon as possible.
