Role Summary

We are hiring an Executive Assistant based in Latin America to directly support the CEO of a fast moving startup. You will manage the CEO's calendar, inbox, priorities, and follow ups, acting as a trusted partner who keeps work moving in a fast paced environment where priorities can shift quickly.

This role suits someone with direct executive or administrative support experience who is comfortable with ambiguity, sets priorities well, and moves quickly without needing detailed instructions.

Key Responsibilities

• Manage the CEO's calendar, scheduling, and meeting coordination with internal and external stakeholders
• Monitor the inbox, flag priorities, and help manage routine correspondence
• Track action items, deadlines, and follow ups across open workstreams
• Prepare agendas, briefing notes, and materials ahead of meetings
• Triage and prioritize incoming requests based on the CEO's goals
• Coordinate travel and logistics as needed
• Organize documents, files, and internal information
• Support ad hoc projects and administrative needs as the business evolves
• Handle confidential information with discretion

Qualifications

• Direct experience as an Executive Assistant or Administrative Assistant supporting a senior executive
• Experience supporting a founder or CEO in a startup environment strongly preferred
• Strong written and verbal English communication skills
• Highly organized, with strong prioritization and time management
• Comfortable with ambiguity, changing priorities, and a fast pace
• Proactive and resourceful, able to anticipate needs and act independently
• Sound judgment and discretion with sensitive information
• Proficient with common calendar, email, and productivity tools

Requirements

• Internet Connection:
• Primary internet connection with a minimum speed of 15 Mbps.
• Backup internet connection with at least 10 Mbps.
• Backup connection must be capable of supporting work during a power outage.
• Primary Device:
• Desktop or laptop equipped with at least:
• Intel Core i5 (8th generation or newer), Intel Core i3 (10th generation or newer), AMD Ryzen 5, or an equivalent processor.
• A minimum of 8 GB RAM.
• Backup Device:
• Must meet or exceed the performance of an Intel Core i3 processor.
• Must be functional during power interruptions.
• Peripherals and Workspace:
• A functioning webcam.
• A noise-canceling USB headset.
• A quiet, dedicated home office space.
• A smartphone for communication and verification purposes.
