Job Description Summary:

The Executive Assistant III serves as a strategic executive business partner to Senior Vice Presidents, or Executive Vice Presidents by leading complex executive office operations, coordinating governance activities, supporting enterprise priorities, and managing highly sensitive or confidential organizational matters. This role operates with significant autonomy, anticipates executive needs, represents executive priorities with internal and external stakeholders, and supports executive decision-making through effective planning, communication, documentation, and follow-through. The position serves as a leader among administrative professionals by helping drive standardization, operational excellence, process improvement, training, and executive support best practices across the healthcare system.

This role will support Dr. Michael Waite, Senior Vice President and Chief Medical Officer, and Dr. Jason Melillo, Senior Vice President of Service Lines.

Responsibilities And Duties:

Primary Responsibilities
Serves as a strategic executive business partner to Senior Vice Presidents or Executive Vice Presidents by managing executive priorities, anticipating needs, coordinating critical activities, and supporting effective execution of enterprise leadership responsibilities.
Leads executive office operations by developing systems, processes, tools, dashboards, documentation, and communication routines that strengthen organization, accountability, and visibility to key enterprise priorities.
Manages highly complex executive calendars, priorities, travel, protocol, and leadership logistics by resolving conflicts, coordinating internal and external meetings, preparing materials, and ensuring executives are prepared for decisions, discussions, and follow-up actions.
Coordinates enterprise governance activities, Board of Directors support, executive leadership meetings, retreats, strategic planning sessions, and related documentation by organizing information, preparing materials, tracking outcomes, and ensuring timely follow-through.
Develops, edits, and coordinates executive briefings, presentations, reports, talking points, dashboards, and enterprise communications to support clear, timely, and effective information sharing with senior leaders, board members, physicians, community leaders, and external stakeholders.
Leads or coordinates complex enterprise administrative initiatives and cross-functional projects by tracking priorities, monitoring milestones, identifying risks, organizing decision points, and communicating timelines, outcomes, and next steps.
Serves as a trusted liaison and representative of executive priorities with senior leaders, board members, physicians, community leaders, external organizations, and internal stakeholders to support alignment, collaboration, and effective issue resolution.
Maintains highly confidential and sensitive information, including legal and governance records, executive compensation activities, mergers and acquisitions information, business, personnel, and strategic planning materials, with exceptional discretion, sound judgment, and adherence to organizational policies.
Exercises independent judgment to make decisions regarding executive office operations, prioritization, information flow, meeting readiness, and escalation of sensitive or time-critical matters.
Supports long-range planning, strategic goal development, organizational transformation projects, operational excellence initiatives, and executive performance tracking through dashboards, scorecards, benchmarking information, and decision-support materials.
Coordinates executive involvement in community outreach, philanthropic initiatives, governmental relations, strategic partnerships, acquisitions, affiliations, or other major organizational initiatives as delegated.
Mentors Executive Assistant I and II roles, contributes to administrative support standards, assists with onboarding and professional development, and promotes consistency and operational excellence across executive support functions.
Identifies, recommends, and leads improvements to executive office workflows, governance documentation, communication practices, and administrative processes to enhance efficiency, consistency, and executive effectiveness.

Confidential Decision Support
Handles mergers and acquisitions information.
Supports executive compensation activities.
Maintains legal and governance records.
Exercises discretion with highly sensitive business information.
Makes independent decisions regarding executive office operations.

Promptly reports information security incidents to the OhioHealth Information Security Officer.

MINIMUM QUALIFICATIONS
Education

Associate degree in Business Administration, Healthcare Administration, Communications, or a related field required; Bachelor’s degree preferred. Advanced professional training or certification in executive administration, project management, or healthcare administration preferred.

Experience

•           6–8 years of progressive executive support experience required

•           Significant C-suite support experience

•           Experience supporting Board governance

•           Healthcare experience preferred
