Requirements

ROLE REQUIREMENTS AND CHARACTERISTICS

The Executive Assistant is a trusted partner to the President & CEO, bringing sound judgment, initiative and exceptional execution to a complex, relationship-driven leadership role. To be successful in this role, you must be able to connect dots across conversations and commitments, anticipate needs, solve problems and take ownership of work that enables the President & CEO to focus on her highest priorities. Your responsibilities will include inbox and calendar management, executive correspondence, project management and coordination across the Executive Office. You will need to have a track record of owning work through completion, executive administrative expertise, substantial project management experience, and accurate, dependable execution.

As the Executive Assistant to the President & CEO, you must bring:

  • Expertise in executive administration. You have at least 8 years of experience in executive administrative support. Your scheduling, travel, correspondence, meeting preparation, and project tracking is highly accurate and dependable. You take ownership of tasks from start to finish, so that the executive you support has fewer things to initiate and track.
  • Strong project management skills. You have demonstrated success in leading and managing your own projects, supported by examples of successful execution. You’ve managed multiple workstreams, competing deadlines, and dependencies with rigor. You can translate an executive’s idea into a clear plan with owners, timelines, and follow-up, and you keep it moving.
  • Excellent stewardship of an executive workflow and schedule. You’ve kept the logistics of an executive’s day in flow, including realistic sequencing, preparation time, transitions, travel, meeting materials, and follow-up. You understand the purpose behind the executive’s commitments and align the executive’s time with their highest priorities.
  • Discretion with sensitive information. You’ve handled sensitive organizational, staff, donor, and personal information with discretion and care.
  • Previous experience supporting a Board of Directors. You’ve coordinated board meetings, retreats, materials, and communications, while taking accurate minutes that capture discussion and decisions. You’ve served as a point of contact for board members with professionalism and discretion. Experience supporting a multi-entity board structure is a plus.
  • Strong relationships and Executive Office collaboration. You’ve cultivated excellent relationships across a diverse group of stakeholders and helped make collaboration easier. You’ve worked closely with a Chief of Staff or similar senior partner, sharing information, clarifying ownership, and coordinating priorities.
  • Remote technology fluency. You use Google Workspace, AI, and project management systems with expertise and ease. You can manage multiple calendars and platforms, prepare presentation decks, manage CRM data, and run meetings smoothly. You look for ways to use technology for efficiency, and you’re not afraid to try new tools.

CANDIDATE CHARACTERISTICS

This is a consequential role in a fast-moving, mission-driven organization. We value a partnership grounded in trust, clear communication, warmth and shared ownership. We’re looking for a highly capable, emotionally intelligent executive administrative partner who takes shared ownership of executing the President & CEO’s priorities. You create ease through thoughtful preparation, proactive communication, dependable execution, and a warm working relationship.

The ideal candidate is:

  • Emotionally intelligent and relationally mature. You are warm, perceptive, grounded, and self-aware. You build trust, read interpersonal dynamics, and navigate sensitive situations with care. You’re comfortable with direct feedback, communicate your own needs clearly, and remain steady under pressure.
  • Committed to proactive communication. You see keeping the President & CEO informed as part of ownership and accountability. You communicate early, surface concerns, confirm alignment, and close loops without waiting to be asked. Your updates clearly convey what matters, what you recommend, and any decision needed from the President & CEO.
  • Grounded in sound judgment and triage. You distinguish what needs the President & CEO’s attention, what you can handle, what belongs with another team member, and what requires escalation. You understand urgency in context, bring recommendations, and keep requests moving to the right people.
  • Curious and anticipatory. You actively learn the work, stakeholders, priorities, and the CEO’s decision-making patterns, then use that understanding to prepare for what comes next. You notice dependencies, missing information, and potential friction acting early enough to address them.
  • Skilled at creating structure around a dynamic leadership style. The President & CEO often thinks through rapid synthesis, conversation, and bursts of ideas. You translate that into clear actions and priorities, ask clarifying questions, and maintain continuity as circumstances change.
  • Confident enough to speak up and protect capacity. You flag competing commitments, unrealistic timelines, and scheduling choices that undermine priorities. You recommend solutions and communicate workload concerns early.
  • Rooted in integrity and accountability. You are honest about mistakes, uncertainty, and capacity, and you raise issues promptly with the Chief of Staff and the President & CEO. You bring strong judgment and professional boundaries to everything you do.
  • Deep commitment to WDN’s mission, values and strategy. You are deeply aligned with WDN/A’s mission and values, and energized by the opportunity to build and wield collective power in service of social justice. You represent the Executive Office with warmth and integrity across staff, members, board members, movement leaders, and partners.
