The Role
This is Proton's first Executive Assistant hire — a rare chance to sit at the center of how a fast-moving company actually runs, working directly with the CEO on the decisions, meetings, and priorities that shape the business.
We're looking for someone sharp, driven, and hungry to learn — who wants a front-row seat to how a company is built and run, and is willing to earn trust fast by doing the work well. The role starts at a minimum of 50% and is designed to grow quickly: as you prove yourself, your scope and responsibility will expand well beyond the initial job description.
If you're early in your career (or between chapters, or just want a flexible, high-trust role with real upside), and you're the kind of person who gets things done without being asked twice, this could be the fastest way to learn how an executive team actually operates.
What You’ll Do
- Manage the CEO's calendar: schedule and reschedule meetings, protect focused work time, and make sure the right things happen at the right time.
- Learn the rhythm of the CEO's schedule well enough to make good calls on his behalf — which days he protects, when he's traveling, what's happening around a commitment so nothing gets booked incorrectly.
- Coordinate directly with internal and external stakeholders, representing the CEO's preferences clearly and professionally.
- Help organize executive team meetings, management reviews, and board meetings — logistics, materials, and follow-up.
- Own travel planning end-to-end: flights, hotels, ground transport, itineraries, and changes on the fly.
- Take on personal tasks and errands when needed — no task is beneath this role, and being genuinely helpful is the job.
- Jump into ad hoc projects as they come up, and run with them with minimal hand-holding.
Who You Are
- You care about doing things right, not just doing them fast — when you say you'll handle something, it gets handled.
- You're discreet by nature. You'll be close to sensitive information from day one and understand why that matters.
- You're a fast learner who asks good questions, picks things up quickly, and doesn't repeat mistakes.
- You stay calm and organized when plans change — because they will.
- You communicate clearly in English, written and spoken; German or French is a real plus.
- You think in terms of "what needs to happen" rather than "what's in my job description."
- No specific work experience required — we care far more about judgment, curiosity, analytical thinking and drive
