Summary of the Role
To provide comprehensive executive support to the Managing Director of Terumo Thailand while ensuring the effective management of the Managing Director's Office and workplace facilities. The role requires professionalism, discretion, strong organizational skills, high confidentiality, and the ability to manage office operations and facilities efficiently to support a productive, safe, and professional working environment.
Key Responsibilities
1. Executive Support & Office Management (35%)
Manage the MD's calendar, schedule, meetings, and daily arrangements.
Organize domestic and international business travel and logistics.
Ensure executive effectiveness through proactive planning and prioritization.
Handle correspondence, documentation, approvals, records, and filing systems.
Support internal and external events, including luncheons, dinners, and business entertainment activities.
2. Communication & Liaison (20%)
Independently manage communication with internal teams, regional stakeholders, industry associations, business partners, distributors, and government officials.
Coordinate external liaison activities and maintain professional relationships.
Arrange logistics, agendas, and hospitality for VIP visits and corporate events.
Manage relationships and contracts with hotels and other service providers.
3. Facility & Workplace Management (25%)
Oversee daily office facility operations to ensure a safe, efficient, and professional workplace environment.
Coordinate office maintenance, repairs, renovations, and workspace improvements with landlords, building management, and vendors.
Manage office services and facilities vendors, including cleaning, security, pantry, courier, and maintenance providers.
Monitor office supplies, equipment, furniture, and facility-related budgets to ensure cost-effective operations.
Support workplace health, safety, and compliance initiatives in accordance with company policies and local regulations.
Coordinate office space planning, seating arrangements, office moves, and workplace readiness for new hires and visitors.
Drive continuous improvement initiatives to enhance employee workplace experience and operational efficiency.
4. Strategic & Analytical Support (10%)
Conduct research, prepare reports, data analyses, and proposals.
Present information in a clear, concise, and professional format.
Support the MD in tracking strategic initiatives and monitoring execution progress.
5. Ad Hoc Projects & Other Responsibilities (10%)
Undertake any other assignments, projects, or initiatives as directed by the MD.
Support cross-functional projects that contribute to business operations, employee experience, and organizational effectiveness.
Functional / Technical Skills
Native Thai speaker with strong English communication skills (written and spoken)
High level of confidentiality and professional ethics
Maturity in handling sensitive matters and solving problems independently
Adaptability to changing priorities and environments
Strong time management and organizational skills
Proficient in Microsoft Word, Excel, Outlook, PowerPoint, AI skills
Team player with a “can-do” attitude and ability to perform under pressure
Education & Experience
Bachelor’s Degree in Economics/ Business Administration/ Communication or relevant majors
4–5 years of experience supporting Executives, Board of Directors, or Commercial/Business Directors
Preference for candidates with experience in a multinational healthcare company
Strong IT literacy and technical proficiency, including advanced use of Excel, PowerPoint, Google Workspace, and other relevant digital tools and technologies
Experience managing complex stakeholders and distributors
Excellent Communications Skills in English and Thai
