Brooks Instrument (www.brooksinstrument.com), an industry leader in flow and pressure instrumentation for critical applications, is seeking candidates for a Environmental Regulatory Compliance Specialist position that will be based at the company headquarters in Hatfield, Pennsylvania (suburban Philadelphia). Basic Function

The Environmental Regulatory Compliance Specialist supports the accurate and timely completion of product certifications, customer compliance reports, and global regulatory documentation for Brooks Instrument flow measurement and control products. This hourly administrative role maintains product and approval data, coordinates supporting information across departments, and assists the Approvals Engineer or Quality leadership with certification agency activities. The position requires exceptional attention to detail, sound judgment, and the ability to work confidently with technical product information. Final engineering determinations and regulatory interpretations remain with the designated technical authority.

Essential Duties and Responsibilities

  • Prepare, review, and issue customer-requested product certifications, declarations, questionnaires, and compliance reports using approved data and documentation.

  • Research and compile product, material, component, and manufacturing information needed to respond to customer and regulatory compliance requests.

  • Maintain accurate electronic records of product approvals, agency certificates, declarations, test reports, expiration dates, open actions, and related technical documentation.

  • Track customer requests and certification activities from receipt through completion; communicate status, follow up on missing information, and escalate risks to deadlines or compliance.

  • Support requirements associated with semiconductor and industrial customers and applicable global product, safety, and environmental regulations, including RoHS, REACH, SCIP, TSCA, PFAS, conflict minerals, and Proposition 65.

  • Coordinate with Engineering, Quality, Supply Chain, Manufacturing, Marketing, Sales, Customer Service, other Brooks locations, and suppliers to obtain accurate supporting information.

  • Enter and maintain compliance information in internal databases, document-control systems, ERP applications, customer portals, and third-party reporting platforms.

  • Perform an administrative completeness review of certifications and reports to verify that required fields, product references, supporting records, and approvals are present before release.

  • Support engineering change activities by routing approval-related documentation, identifying affected certificates or records, and ensuring approved updates are reflected in applicable systems.

  • Assist in preparing submissions, correspondence, document packages, samples, and status updates for certification agencies and notified bodies.

  • Provide documentation and coordination support for customer, certification agency, and internal audits, including retrieving records, organizing evidence, tracking actions, and maintaining audit files.

  • Identify inconsistencies, missing data, expired documentation, or potential compliance gaps and promptly escalate them to the appropriate technical or quality representative.

  • Monitor assigned regulatory and customer documentation requirements and help assess administrative or data impacts when requirements change.

  • Generate routine metrics and reports on request volume, turnaround time, approval status, expiring certificates, and outstanding actions.

  • Develop and maintain templates, work instructions, trackers, and record-retention practices that improve accuracy, consistency, and response time.

  • Support ISO 9001 quality-system documentation, internal audit preparation, and continual improvement initiatives as assigned.

  • Protect confidential customer, supplier, product, and company information; maintain regular attendance and effective working relationships.

  • Perform other related duties as assigned. Marginal functions not listed among the essential duties may also be required.

Education and Experience

  • Associate degree in engineering technology, quality, business administration, environmental science, information systems, or a related technical field required. A bachelor’s degree is preferred.

    • An equivalent combination of education and relevant product compliance, quality, or technical manufacturing experience may be considered.

  • Three or more years of experience in product compliance, regulatory documentation, quality, engineering support, document control, or a technical manufacturing environment required.

  • Experience working with technical products in an ISO 9001-certified manufacturing environment preferred.

  • Experience supporting product certifications, regulatory submissions, customer compliance requests, or third-party certification agencies strongly preferred.

  • Working knowledge of state, federal, and international environmental compliance requirements such as RoHS, REACH, SCIP, TSCA, PFAS, conflict minerals, and Proposition 65 preferred.

  • Experience interpreting bills of material, engineering drawings, specifications, certificates, and engineering change documentation preferred.

Knowledge, Skills, and Abilities

  • Strong attention to detail and a consistent commitment to data integrity, document accuracy, and timely follow-through.

  • Ability to read, understand, organize, and accurately transcribe technical and regulatory information without making unauthorized interpretations.

  • Strong organizational and project-coordination skills, with the ability to manage multiple requests, priorities, and deadlines.

  • Proficiency with Microsoft Office, particularly Excel, Word, Outlook, and Adobe Acrobat; advanced Excel capability is preferred.

  • Ability to learn and use databases, ERP systems, product lifecycle or document-control systems, customer portals, and web-based reporting tools.

  • Effective written and verbal communication skills and the ability to work across technical and nontechnical functions.

  • Strong research, problem-solving, and follow-up skills; ability to recognize discrepancies and know when to seek technical guidance.

  • Ability to work independently within established procedures while maintaining confidentiality and sound judgment.
