About the role:
Join Sword Group as a Document Controller and become a key player in supporting how critical information is managed and utilised. You will help ensure engineering, operational and business documentation is accurately controlled, maintained and easily accessible.
You will support a range of document control, records management, system administration and compliance activities, helping to ensure information is accurate, well organised and managed in accordance with agreed procedures and regulatory requirements.
Your attention to detail and organised approach will be key to maintaining accurate records, supporting document workflows and ensuring information remains current, traceable and accessible. You will work with a range of stakeholders, providing day-to-day support and helping to maintain consistent and effective document management practices.
The role is based in Barrow-in-Furness, with a working pattern of four days in the office and one day working from home.
As a Document Controller, you will:
- Support the effective control and maintenance of engineering, operational and business documentation.
- Process and maintain documents and records, ensuring information is accurately registered, updated, controlled and readily accessible.
- Support document review, approval, distribution and revision control processes.
- Maintain accurate document registers, records, metadata, version histories and audit trails.
- Assist with records management activities, including document retrieval, filing, archiving and retention.
- Carry out document and information compliance checks, identifying discrepancies and escalating issues where appropriate.
- Support the administration of document and Information Management systems, helping to maintain system integrity and data quality.
- Assist users with document management systems and processes, providing day-to-day support and guidance where required.
- Support the management of user information and system access in accordance with agreed processes.
- Work with internal stakeholders to respond to document and information requests in a timely and professional manner.
- Help ensure documentation is managed in accordance with company procedures, standards and regulatory requirements.
- Support ongoing improvements to document control and records management processes.
Requirements
- Previous experience within document control, records management, administration or a similar office support environment.
- Good organisational skills with strong attention to detail and accuracy.
- Proficiency in Microsoft Office applications, particularly Excel, Word and Outlook.
- An understanding of document management, records management or administrative processes.
- Experience using document management systems or other business systems would be advantageous.
- Strong written and verbal communication skills.
- Good customer service skills with the ability to work effectively with a range of stakeholders.
- Ability to manage multiple tasks and priorities effectively while maintaining accuracy.
- A structured and methodical approach to work.
- Proactive and self-motivated, with the ability to use initiative and work effectively as part of a wider team.
