About the role
The Distribution & Logistics Specialist reports to the Manager, Distribution and Logistics, Indonesia. The role supports end-to-end administration and coordination for distribution, import and logistics activities, working closely with internal teams, customs brokers, forwarders and third-party logistics partners. Success in this role means keeping operational activities accurate, compliant and on schedule, while maintaining clear trackers, reports and follow-up actions.
Key responsibilities
- Support import quota administration, regulatory submissions, and compliance requirements.
- Coordinate inbound customs clearance activities and monitor import shipment status.
- Manage import documentation, customs-related records, and regulatory reporting.
- Maintain inbound monitoring tools, shortages follow up, quota allocation, and shipment tracking updates.
- Support VDVP administration, reporting, settlement, and e-billing activities.
- Verify logistics-related invoices and coordinate payment requests with Finance and service providers.
- Support customs audit activities and maintain required documentation.
- Coordinate with customs brokers, forwarders, 3PL partners, and government-related parties on operational matters.
- Support warehouse and outbound administration activities; GWP and price tag shipment request, validating monthly accrual cost of DC.
- Maintain reports, trackers, and documentation to support business operations.
- Provide administrative support for trade compliance and future regulatory initiatives.
- Handle ad hoc tasks and projects assigned by the Manager, Distribution and Logistics – Indonesia.
What we are looking for
- A university degree is preferred, with relevant experience in logistics, customs brokerage, import operations, trade regulation or supply chain administration.
- Experience in a multinational retail environment is an advantage.
- A collaborative communicator who works effectively across functions and builds constructive relationships with internal and external partners.
- A detail-oriented problem solver who responds with urgency, stays organised and can work independently in a fast-paced matrix environment.
- Strong written and spoken English and Bahasa Indonesia, with the ability to share information clearly, promptly and concisely.
- Comfort using database applications, Microsoft Excel and other Microsoft Office applications.
- A Lean-minded approach: naturally curious, committed to solving problems at the root and motivated to make processes better every day.
- Flexibility to support longer working hours when operational needs require it, and to travel domestically to distribution centres as needed.

Performance focus
Key measures include inbound goods receipt completion within SLA, timely resolution of inbound issues, import realization and VDVP submissions before the 15th of each month, on-time regulatory submissions, accurate invoice validation and payment requests, and completion of audit support, reporting and administrative tasks within agreed deadline
