The Advanced Practice Student Placement and Education Coordinator coordinates clinical placements, onboarding, and educational experiences for Advanced Practice students across St. Luke’s University Health Network. The position serves as the primary liaison among students, academic institutions, preceptors, clinical departments, talent acquisition, human resources, and advanced practice leadership to support an organized, compliant, and high-quality student experience. The coordinator also supports broader Advanced Practice training and educational programming offered throughout the Network, including learner orientation, preceptor engagement, program evaluation, and workforce-pipeline initiatives.
ESSENTIAL FUNCTIONS:
- Advanced Practice Student Placement and Onboarding
- Coordinates Advanced Practice student placement requests, clinical rotation schedules, onboarding, orientation, and required clearances across the Network.
- Serves as the primary point of contact for students, academic institutions, preceptors, clinical departments, Human Resources, and Advanced Practice leadership throughout the placement process.
- Matches eligible students with available clinical experiences based on academic requirements, clinical capacity, preceptor availability, and Network priorities.
- Monitors completion of required affiliation, onboarding, compliance, and clearance documentation before each clinical experience begins.
- Maintains accurate placement schedules, student records, evaluations, correspondence, and program data.
- Coordinates affiliation-agreement review, renewal, and documentation with academic institutions and appropriate Network departments.
- Preceptor and Clinical-Site Engagement
- Partners with Advanced Practice, service-line, and clinical leaders to identify, develop, and maintain preceptor and clinical-placement opportunities across specialties.
- Communicates placement expectations, schedules, academic requirements, and available resources to preceptors and clinical departments.
- Supports preceptor orientation, education, engagement, recognition, and feedback initiatives.
- Coordinates student and preceptor evaluations, monitors the quality of clinical experiences, and escalates concerns through established departmental processes.
- Advanced Practice Education and Workforce Development
- Supports Network-wide Advanced Practice training and educational programs, including learner orientation, the Advanced Practice observer program, transition-to-practice programming, and other assigned initiatives.
- Coordinates educational events, meetings, communications, learning resources, program logistics, and participant documentation.
- Connects eligible Advanced Practice students with recruitment resources in accordance with established criteria and department procedures.
- Builds relationships with students, faculty, academic institutions, and internal stakeholders to promote St. Luke’s as a clinical education and employment destination.
- Program Evaluation, Reporting, and Administrative Support
- Develops and maintains reports on student placement volume, placement capacity, preceptor participation, evaluations, program outcomes, and recruitment-pipeline activity.
- Uses program data and stakeholder feedback to identify opportunities to improve placement processes, student experiences, preceptor engagement, and educational programming.
- Maintains program files, databases, spreadsheets, calendars, meeting materials, and other assigned departmental records.
- Supports assigned Advanced Practice and medical education committees, projects, meetings, agendas, and minutes.
- Performs other duties as assigned.
PHYSICAL AND SENSORY REQUIREMENTS:
Requires sitting for extended periods; frequent use of a computer, telephone, and other office equipment; and the ability to communicate effectively in person, by telephone, and electronically. Occasional travel between Network locations and occasional lifting or carrying of office or program materials may be required. EDUCATION:
High school diploma or GED required. Bachelor’s degree in healthcare administration, education, business administration, human resources, or a related field preferred.
TRAINING AND EXPERIENCE:
Three years of experience in clinical education, student placement, academic program coordination, healthcare administration, or a related setting required.
Experience coordinating Advanced Practice, nursing, allied health, or other clinical learner placements in a health network, teaching hospital, or academic healthcare environment preferred.
Demonstrated ability to coordinate multiple placements and deadlines, communicate effectively with diverse stakeholders, maintain confidential records, analyze program data, and improve administrative processes is required.
Proficiency with Microsoft 365 applications, including Outlook, Excel, Word, PowerPoint, SharePoint, Teams, and Microsoft Forms, is required. Experience with learning-management systems, survey tools, or student-placement platforms is preferred.
