About the team and position 

Carvana's Real Estate team operates in a fast-paced, team-oriented environment, supporting a rapidly expanding portfolio of commercial properties for Carvana and ADESA. We are looking for a Commercial Property Manager to join our Real Estate team at Carvana's corporate headquarters in Tempe, Arizona. This role blends day-to-day commercial lease administration and portfolio management with hands-on support for core, recurring legal tasks, working closely with our Real Estate Legal team.

This role is built for a commercial real estate professional. Our portfolio consists of all types of industrial and retail facilities. We lease, purchase, sell, finance and maintain a vast portfolio of real estate, and your familiarity with managing a commercial real estate portfolio will be key to your success. Comfort interpreting commercial lease and purchase agreement language, understanding rent roll, tax and insurance payment obligations, working with facilities teams and vendors and recognizing the workflow requiring support in commencing, operating and closing out sites in a manner that is compliant with best practices and lease obligations is essential. Candidates with a background limited to residential or multifamily property management will not have the lease-interpretation and commercial deal experience this role requires.

The ideal candidate has held an in-house/corporate real estate role or a role at a commercial property management or brokerage firm, development company, REIT, or business with a deep investment in its real estate portfolio. The responsibilities require a proactive and detail-oriented professional who delivers accurate, high-quality work quickly, communicates effectively with a wide range of internal and external stakeholders, and knows how to responsibly use AI tools to work faster and smarter. This role requires juggling multiple projects and deadlines in a dynamic environment where priorities can shift quickly.

This person will work closely with Legal, Accounting, and Insurance, as well as Facilities and Construction, demonstrating strong cross-functional collaboration and project management skills. Daily functions are expected to be handled autonomously with limited oversight, while knowing when a matter requires more context for stakeholders or should be escalated to the Manager of Portfolio Management or Legal.

This is a fully on-site position, Monday through Friday, at our corporate HQ in Tempe, Arizona.

What you’ll be doing 

• Perform commercial lease abstraction and ensure data integrity of Lease Agreements, License Agreements and Purchase Agreements.
• Audit lease information to ensure key lease administrative deadlines are met and are reflected accurately in internal and external reports.
• Communicate with landlords, including handling landlord escalations and holding landlords accountable to comply with commercial lease language.
• Interpret commercial lease terms in a manner that helps Facilities, Construction and other teams understand core Landlord and Tenant contract responsibilities.
•  Recognize when lease interpretations require escalation to the Senior Manager of Portfolio Management, or to Legal, for resolution.
• Serve as a go-to resource for property and portfolio management matters, answering questions and resolving issues independently as appropriate, and building relationships that advance Carvana's standing and rapport with landlords.
• Support property move-in/move-out processes, critical dates management, and related lease administration functions.
• Absorb tasks and projects as needed to work efficiently, prioritizing according to team and business objectives.
• Work with a third-party utility manager to transfer and set up utility services.
• Accurately track property taxes and work with a third-party tax vendor to ensure timely payment.
• Manage COI (certificate of insurance) collection and distribution and support quarterly reporting requirements.
• Review tenant rent and common area maintenance (CAM) charges to ensure accuracy.
• Support recurring rent payment, tax payment, insurance requirements, contractual obligations, and routine "run the business" property management responsibilities.
• Prepare and deliver timely, accurate operational and financial reports to stakeholders.
• Draft, review, and obtain approval for standard legal notices, landlord-tenant communications, and ancillary documents, under the supervision of the Senior Manager, Portfolio Management.
• Support lease administration workflow, including estoppels, SNDAs, access requests, and other routine commercial lease matters.
• Support the management and reporting of critical dates, where needed, while coordinating with landlords on matters such as potential buyouts, early lease terminations, and other lease-related negotiations.
• Utilize AI tools to increase speed and accuracy on lease review, document drafting, and reporting tasks.
• Manage lease setup tasks in the project management system.
•  Develop and maintain relationships with contractors, landlords, tenants and stakeholders.
• Other duties as assigned.

What you should have/know

•  8+ years of experience in commercial property management or commercial lease administration — gained in an in-house/corporate real estate department or at a commercial property management or brokerage firm..
• A Bachelor's degree from an accredited undergraduate institution is preferred.
• Strong comprehension of commercial lease/purchase agreement language, with the ability to interpret provisions and identify key obligations, rights, and risks.
• Direct experience with commercial lease administration concepts such as CAM reconciliation, estoppels, SNDAs, and certificates of insurance.
• Self-starter; able to make good decisions and work independently with limited direction or supervision.
• Must be able to work in a fast-paced, results-driven, team-oriented environment with multiple deadlines, and adapt quickly to changing priorities.
• Ability to think critically and take the initiative to develop and improve processes for the team.
• Ability to identify opportunities and provide solutions.
• Ability to comprehend Landlord vs Tenant responsibilities under commercial leases and enforce compliance.
• Strong decision-making skills; able to recognize which functions can be handled autonomously versus which require collaboration or escalation, and to calibrate how much context to provide based on the audience and goals.
• Grasp of or proficiency in risk management and issue-spotting, recognizing which matters require input from team leadership or other groups such as Legal, Accounting, or Insurance.
• Strong team mentality; ability to productively work with varying personalities and experience levels to grow and develop the team.
• Proficient with Microsoft Office, G-Suite applications and AI resources, including Claude and Gemini.
• Working knowledge of Property Works software or similar commercial lease management software.
• Familiar and comfortable with financial review and reporting.
• Enthusiasm and energy to contribute to and thrive in a dynamic, fast-paced atmosphere where roles continually adapt as the company evolves.
