Radiology Administration has an exciting opportunity for a Clinical Program Coordinator (H) Position. The incumbent assists in the development, organization, production, and evaluation of various departmental program offerings within the assigned unit. Moreover, this employee provides general oversight to daily program activities in support of the University’s mission. The Clinical Program Coordinator (H) may also monitor the financial performance of programs to meet departmental goals and assists with short-and long-range budgetary planning.

CORE JOB FUNCTIONS

  • Evaluates program effectiveness, analyzes results, and recommends appropriate action.

  • Coordinates clinical program activities with other departments and staff to ensure optimal efficiency.

  • Serves as a main point of contact to facilitate communication between stakeholders.

  • Develops collaborative partnerships across teams and/or patients to streamline processes and enhance departmental productivity.

  • Trains, develops, and empowers staff to effectively perform their jobs.

  • Develops program/departmental communications and may involve promotional materials for distribution.

  • Prepares reports which may include financial statements, and records for management or outside agencies.

  • Ensures confidentiality of patient and hospital business information.

  • Coordinates the maintenance of established supply levels in designated areas, as needed.

  • Adheres to University and unit-level policies and procedures and safeguards University assets.

CORE QUALIFICATIONS

  • Bachelor’s degree in relevant field required

  • Minimum 2 years of relevant experience required

Department Specific Functions

The Clinical Program Coordinator plays a critical role in the Radiology Department, overseeing the imaging dashboards, monitoring AI algorithm performance, and supporting various clinical operations. This individual is responsible for ensuring the efficient processing and reporting of imaging studies, collaborating with healthcare providers, and contributing to the safe and effective use of artificial intelligence (AI) in radiology.

The Clinical Program Coordinator will also work with the radiology team to develop and implement policies and procedures for the use of AI in radiology and the overall imaging dashboards and provide general oversight to daily program activities in support of the University's mission.

  • Patient Data protection and Compliance:

    Protect sensitive patient medical records by strictly following HIPAA protocols.

Imaging Dashboards and Reporting:

Monitor imaging dashboards to track the status of imaging studies and run pending reports (include draft status, pending signatures).

Contact film library for missing images

Identify and address potential issues, such as delays and expedite STAT cases.

Communicate effectively with radiologists and healthcare providers to ensure timely reporting.

Update Productivity log daily


Pending Imaging Reports:

Follow up/act upon pending imaging reports for inpatients and outpatients across all UM facilities. Facilitate prioritization request, e.g. STAT/VIP, patient at clinic. CT Lung Screening & Calcium Scoring

Merging of folders IT ticket as requested by Faculty

Process Second Opinions Request for Body Imaging, Neuro, MSK, Nuclear Medicine, Cardiothoracic and Pedi.

Asking for reports to be finalized

Addendum Request to a report sent to the Radiologist who read the report

Run 90 days report for all pending studies from PACS for leadership

Run Mammo Pending list for past 6 years (monthly)

Run OBS report three times daily and ensure reports are finalized

Other critical findings and workflow (Faculty and Tech)

Compare Epic report & PACS/Main List report for pending exams over the TAT

Contact Cardiology for pending studies that shows up EPIC/MAINLIST/OBS/STAT reports

Contact Interventional Radiology for pending studies on OBS Report

Call Back Report in PACS (patient needs additional imaging)-start 10/31/2025

Upcoming Report for Dr. Castillo –start 7/7/2025

Update Upcoming Report for Dr. Castillo upcoming appointments---8/13/2026

CPC Team Investigation Requirements for studies over the TAT: Locate the study in PACS and review the audit trail for delays, routing issues, or user actions. Determine whether the exam has been assigned to or reviewed by a radiologist. If a reviewing radiologist is listed, email them and copy Division Directors as appropriate. Communicate with technologists regarding exams that are missing images and/or to determine if studies are non-reportable examples of studies are Vascular lab UHT, Endo and some Ortho Contact tech for breast specimen to make it non-reportable if there were no biopsy performed Contact Tech for CT calcium scoring

Coordination with Radiologist and Ordering Providers

Utilize QGenda Schedules to direct calls to radiologists for clinical matters.

Assist radiologist by contacting ordering providers for peer-to-peer consultation

Use Physician Line 305-243-2222

Review patients’ chart to determine external provider that needs to connect with internal physician

AI Algorithm Performance:

Monitor AI algorithms used in Radiology & Review AI-generated reports for accuracy and completeness.

Collaborate with radiologists, technologists, and referring physicians to ensure safe, effective AI use.

Support AIDOC workflows for Lennar and SCCC within required TAT (e.g., <45 mins for flagged studies).

CPC-Team currently monitors ICH, PE, IPE, Pneumothorax, and NiPE algorithms in AIDOC. Other algos that are currently live: BA, FreeAir, Rib Fracture, Gleamer BoneView, Vertebral Compression Fractures.

Policy Development AND Oversight:

Work with the radiology team to develop and implement policies for AI use and imaging dashboards.

Provide general oversight of daily program activities in alignment with the University's mission.

Clinical Support

Provide support for all Phone calls, emails, Haiku messages and Physician requests

Provide support to the clinical operation for the Radiology Department, covering 8 divisions with a total of 131 faculty and technicians when needed.

Provide support for STATs/VIP/Critical Findings read requests

Assist in locating physicians (internal/external)

Support OCC Clinic at UMHC 8:00 am-6:00 pm requests with 60 mins TAT.

Support OCC Clinic at DFB 8:00 am-5:00 pm requests with 60 mins TAT.—Started February 2026

Support read on studies from the OBS report at UHT within the same day


Weekend Coverage and Technical Support:

Provide Saturday coverage 8:00 am -5:00 pm.

Expedite interpretation requests for OBS and STAT cases in EPIC using PACS, PowerScribe and Epic.

Communication Management

Answer and monitor incoming phone calls and emails related to clinical studies.

Manage the Departmental Clinical email account, ensuring timely and accurate responses.

Relay messages to faculty using Haiku, email, or phone per preference.

Respond to Haiku messages for read requests

Maintain internal/external contact directories.

Maintain SOPs (24) for all CPC tasks.
 

Tickets

Responsible for opening UM IT/PACS tickets for the Department

Combine MRNs when duplicated

Replace reports back into filter when deleted

Merge of filters at Radiologist request


Film Library Request

Link exams and transfer images as needed

Return studies for dictation when needed

Separate images when two studies are combined

Correct finalized reports with incorrect patient/exam info through addendum workflow

Locate external facilities for missing images

Cancel accession numbers created in error or is no longer needed
Research Support

Maintain research databases (if applicable).

Identify cases for research projects (if applicable).


Training Support

Require access and training on relevant systems and dashboards, including PowerScribe, Epic/UChart, Haiku, QGenda, AIDOC, mPower, PACS, PCAF, Team Play by Siemens, Performance Bridge by Philips in addition to new applications as they are added to the Organization.

Adherence to Policies and Additional Duties

Adhere to University and unit-level policies and procedures, safeguarding University assets.

Safeguard University assets.

Complete professional development meetings, special projects, team huddles, and assigned CBLs.

Complete all additional duties as assigned in a timely fashion.
