Carfleet Coordinator EMEA (m/w/d) Corporate Accounts – Work Dynamics EMEA

You are responsible for the operational management of car fleet services in Germany within your scope. You will manage Fleet Management companies, handle driver escalations, and administer related operational activities in both JLL and client systems while working in contact with multiple client services (Business Units, Finance, HR). Your role ensures no outages on contractual performance metrics.

Key Responsibilities

General Driver Communication

• Respond to emails to guide drivers in following correct processes and resolve any issues they present
• Act as an escalation point when leasing companies are not performing well
• Inform drivers on proper communication channels
• Contribute to keeping driver information communication platforms up to date

Vendor Management

• Provide timely and documented feedback to leasing companies about performance
• Conduct regular vendor management meetings to discuss and improve quality of service

Car Ordering & Reallocation

• Manage new starter car requests—liaise with car management companies and lease companies to ensure spare cars are reallocated before hire cars are ordered
• Instruct leasing companies when to invite drivers to order new cars
• Manage and arrange correct approvals of new car orders
• Manage new car changeovers (work with vendors to return old cars in line with new deliveries)

Financial & Purchasing

• Generate PO requests as required
• Monitor invoices, request GRs, manage PO changes, and resolve GR-IR queries
• Work with leasing companies and the client to resolve payment issues
• Support invoice documentation and specific client reporting
• Manage toll administration reports and fines management

Insurance

• Update the motor insurance database to reflect changes in the fleet
• Provide fleet data as required by the client to assist in the insurance renewal process
• Connect with insurance companies to capture any driver changes (stopping/starting insurance cards/requesting insurance reports)

Lease Accounting Compliance

• Ensure database is kept up to date for driver changes and lease terminations

Key Performance Measures

• Zero driver complaints
• Timely Purchase Orders raised
• Invoices paid on time
• On-target annual driver satisfaction survey results
• Savings delivery according to target figures

Requirements

• University degree in Business Administration, Economics, or equivalent experience
• 3 years' experience in customer service-related and administrative environment, ideally in car fleet management sector or facility management
• Working experience in a multinational environment
• Very good German and English language skills (both spoken and written at professional level)
• Microsoft O365 proficiency
• Strong organizational abilities with attention to detail
• Excellent communication and relationship management skills
• Proactive problem-solver with a can-do attitude
• Customer-focused mindset with ability to handle multiple priorities
