Job Title: CapEx Coordinator

Working Hours: US Hours (9am-5pm EST)

We are looking for a highly organised and proactive Construction & CapEx Project Coordinator to support the planning, coordination, and execution of multiple construction, maintenance, and capital expenditure projects.

This role will work closely with vendors, contractors, and internal stakeholders to obtain quotes, coordinate project schedules, track budgets, manage scopes of work, monitor progress, and ensure projects are completed and properly closed out.

The successful candidate will be comfortable managing multiple projects and changing timelines, while maintaining strong follow-up and ensuring that projects continue moving forward.

This is a new position created to support business growth and provide additional operational capacity.

Requirements

• Coordinate multiple construction, CapEx, and property-related projects from initiation through completion.
• Assist with project planning, scheduling, and prioritisation.
• Source and coordinate vendors and contractors for project requirements.
• Request, obtain, and compare contractor and vendor quotes.
• Assist with preparing and reviewing scopes of work.
• Track project budgets, costs, estimates, and approved expenditure.
• Monitor project timelines, milestones, and completion dates.
• Follow up consistently with contractors and vendors to keep projects on schedule.
• Coordinate project updates and communicate progress to relevant stakeholders.
• Track outstanding tasks, approvals, quotes, materials, and project requirements.
• Identify delays, issues, or changes that may affect project timelines or budgets.
• Maintain accurate project information and documentation in Yardi and other tracking systems.
• Assist with building and improving project coordination processes within Yardi.
• Support project close-out, including final inspections, documentation, and completion confirmation.
• Ensure completed projects are properly documented and closed.
• Manage multiple priorities while maintaining attention to detail and follow-through.

Essential Skills & Experience

• Experience in construction operations, project coordination, CapEx, or real estate project management.
• Experience coordinating contractors and vendors.
• Experience obtaining and comparing quotes.
• Experience with budget tracking and project cost management.
• Ability to prepare and work with scopes of work.
• Strong project planning and coordination skills.
• Experience managing project schedules and tracking progress.
• Ability to coordinate several projects simultaneously.
• Strong follow-up and communication skills.
• Excellent organisational and administrative skills.
• Ability to manage changing priorities and timelines.
• Strong attention to detail.
• Comfortable working independently and taking ownership of projects.
