Welcoming Experience

• Ensure the best experience for each person entering HSBC’s lobby
• Host and manage the main reception and lobby areas, energising the space, and create lasting impressions
• Always maintain a professional appearance and wear an approved name tag in clear sight.
• Ensure there is sufficient coverage for reception at all specified times
• Verify building access, and process Customers/Guests with temporary access.
• Ensure that the reception, lobby and client suites are always immaculate, taking ownership of the space and reporting issues appropriately
• Follow the agreed process for employee new hires/exits
• Assist with directing Customers, Guests and HSBC Personnel to their required destination.
• Responsible for logging and retrieval of any technology accessory rentals
• Provide lost and found services as required.

Visitor Management

• Ensure that all visitors experience service excellence consistently, providing a warm, courteous and prompt welcome on arrival and throughout the customer journey
• Register each guest using the approved guest booking system, issue guest badge, and notify meeting host of guest arrival
• Liaising with PA/EA teams, clients and visitors and providing excellent customer service – creating “wow” moments when the opportunity arises
• Maintain information regarding the various registration processes at each HSBC Premises
• Monitor all Customers, Guests, HSBC Personnel, and others in the lobby space, ensuring badge swipe or escorted transition beyond security perimeter. Contact Security for any breaches or issues.
• Handle sensitive information discreetly, manage visitor access controls diligently, and adhere to any privacy guidelines we have in place.

Concierge Services

• Provide an overview of each site and its amenities in an accessible building guide
• Liaise with other WE&O departments, namely security, workspace ambassadors, workspace experience and operations, and hospitality services to provide a consistent and seamless experience
• Provide an information on the local area, its amenities, and any events to act as a point of contact between clients and hosts, enhancing service with a concierge approach
• Proactively deal with and be accountable for enquiries and requests in a timely and professional manner as well as providing follow-up as necessary

Help and Support

• Ensure Security, and Health and Safety procedures are always adhered to
• Proactively manage Switchboard services, answering and directing calls as received
• Ensure that all calls are answered in accordance with pre–approved greetings and established policies
• Ensure “out of hours” switchboard is activated and direct emergency and non-emergency calls/inquiries to the appropriate point(s) of contact, where/when applicable.
• Maintain Standard Operating Procedures to support effective and consistent Lobby/ Lobby processes and procedures
• Commence emergency procedures in a manner consistent with assigned location emergency response plans
• Provide support for AV/ VC, collaboration tools or other meeting and conference room related equipment issues
• Coordination and liaison with Event Coordination team for all Personnel, Customer and Guest and executive transportation requirements
• Assist with any questions or requests in a proactive and cheery manner
