We are seeking a patient-focused, organized Front Desk Medical Assistant to support our client's Pediatrics practice. The ideal candidate has prior hands-on experience in a U.S. pediatric clinic and excels at front-desk administrative duties, including high-volume call management, patient scheduling, new family onboarding, and precise vaccine coordination and data entry.

Key Responsibilities:

• Front Desk & Call Operations: Serve as the primary point of contact via phone and messaging using Spruce; manage front-desk communication, address family inquiries, and handle appointment scheduling.
• New Patient Onboarding: Register and onboard new pediatric patients, ensuring all intake paperwork and consents are sent and tracked via DocuSign.
• Vaccination Coordination & Data Entry: Coordinate pediatric vaccination schedules and accurately log vaccine records and administration data into the EHR.
• Clinical Administrative Support: Maintain accurate patient charts in CharmHealth EHR and collaborate with practice staff using Google Workspace (Google Docs, Google Sheets, Google Meet).

Requirements

Direct experience working at the front desk of a U.S. Pediatrics practice.

Proficiency with CharmHealth EHR and Spruce communication tools.

Hands-on experience with DocuSign, Google Docs, Google Sheets, and Google Meet.

Strong familiarity with pediatric vaccine tracking and accurate registry/data entry.

Excellent verbal communication skills and a warm, reassuring telephone manner for patient families.

Please note that this is a full-time contractor position (40 hours per week) with a starting pay rate of $6 per hour, depending on skill set and experience. The schedule is Monday through Friday, 8-5 Eastern Standard Time.
