Job Description Summary

Provides advice on academic programs, admission criteria, scholarships, awards, housing, and student services to prospective students, families, and various secondary school and post secondary representatives.

Organizational Status

The Associate Student Recruitment Advisor reports to the Associate Director, Student Recruitment & Advising. The position works closely in collaboration with: (a) Student Recruiter-Advisors and Admissions staff on the Okanagan and Vancouver campuses of UBC, (b) other staff in UBC Enrolment Services, and (c) other on-campus units (i.e. Faculties) to support the recruitment, advising, admission and transition to UBC. This position is the first point of contact for prospective students and their families and responds to in-person, telephone, and email inquiries.

Major Responsibilities
Supporting Enrolment Services and Student Recruitment & Advising by:

Representing UBC accurately, dynamically, and strategically to prospective high school students, parents and counsellors in Canada.

Communicating information to a broad audience regarding the mission and vision of UBC and its two campuses, admissibility to academic programs, financial support and scholarships, residence and other services which act as major factors in the choice of post-secondary institutions.

Advising prospective students on all aspects of academic program options, application, admission, registration, housing, awards and financial assistance, extracurricular activities, and orientation to UBC. Advising through one-on-one appointments, telephone, email and web-based correspondence with students, their families and guidance counselors and college advisors.

Applying in-depth knowledge and understanding of complex admission requirements and admission policies in responding appropriately to inquiries.

Providing students seeking admission to the University with appropriate advice on their admissibility to their choice of program and campus, based on the student s current level of schooling and course work. Seeks advice and consults with Undergraduate Admission as needed.

Applying tact, cultural sensitivity and discretion when advising students who do not currently meet the University s admission criteria and offering advice on next steps for seeking future admission.

Evaluating applicant personal profiles as part of the University's broader based admissions process, may also evaluate other components of applications for admission. Advising prospective students on aspects of program requirements and admission criteria, changing policies, prerequisite studies, transfer credit and cross-campus transfer, and educational options as they relate to applications for admission.

Providing information and advice to all visitors to UBC s Okanagan campus on behalf of Student Recruitment & Advising and other departments on campus.

Triaging academic advising appointments both in person and via phone for prospective students and their families.

Responding to emails, telephone inquiries and requests for publications/materials, collaborating with Student Recruiter-Advisors and other Enrolment Services professionals on services for recruitment purposes.

Collaborating with other student service units to ensure efficient and coordinated communication to schools and colleges.

Administering day-to-day office functions when required.

Other duties as required.

Consequence of Error/Judgement

Student Recruitment and Advising (SRA) serves as the face and interface of the University in order to help the University meet its enrolment targets, recruit outstanding students, who share the University s values, and to enhance UBC s reputation with students, parents, counselors, and the general community. This position is responsible for providing effective recruitment services and delivering accurate information about admission to the University s undergraduate programs with the aim of meeting the university s enrolment goals for our Vancouver and Okanagan campuses. Advising students, counselors and others incorrectly could have serious and costly consequently for the prospective student.

Supervision Received

Associate Student Recruitment Advisor reports to the Associate Director of the Student Recruitment and Advising unit. Works closely and cooperatively with the Student Recruitment and Advising and Admissions teams on both campuses of UBC to meet the established service standards. Exercises initiative, diplomacy, tact, resourcefulness and sound judgment when representing the University and cross-cultural sensitivity and intercultural skills when advising prospective students with different cultural backgrounds.

Supervision Given

Works with Student Ambassador coordinator to provide direction to the student staff working with the Student Recruitment and Advising unit.

Preferred Qualifications

Undergraduate degree in a relevant discipline.Knowledge of UBC an asset. Experience with Excel and Content Management systems also valuable. Be a skilled listener, with the ability to identify and respond to sensitive issues with empathy and diplomacy. Must be resourceful and able to analyze problems, identify key information and issues and exercise initiative and creativity to develop effective solutions. Proven ability to use an inclusive approach to develop and cultivate relationships with students, counselors, UBC staff and members of the external community. Demonstrated accuracy and attention to detail, especially when working under pressure to meet deadlines or with competing priorities and interruptions. Time management skills with the ability to effectively prioritize, multi-task and organize work is required.Minimum of one to two years of related experience or the equivalent combination of education and experience.
