Job Summary

The Associate Director, Materials Management Systems is responsible for defining and executing the enterprise strategy, governance, and long-term roadmap for Montefiore Health System's Materials Management information systems
This role serves as the enterprise functional owner and strategic leader for Materials Management–related technology, with accountability for performance outcomes, system adoption, and continuous optimization aligned to organizational financial and operational goals. This role's primary responsibility is the Infor ERP Materials Management modules and InnerTrack systems supporting PO receiving and package tracking, and future MMIS tools. This role will also oversee Materials Management operations in St. John's Riverside and Garnet Health; overseeing Warehouse, Central Stores, Receiving and Distribution, and PAR distribution for clinical areas; especially in integrating them into Montefiore processes.
This role is part of Supply Chain Services (SCS); and provides system-wide leadership across all Materials Management teams, regardless of reporting structure, ensuring standardization, scalability, and enterprise alignment. Acting as a strategic partner to Materials Management teams, Strategic Sourcing, Procure to Pay (Purchasing, Accounts Payable, Customer Engagement Center, Master Data Management), Data Analytics, Project Design & Enablement, MIT (IT), and all end users; the Associate Director ensures Materials teams use of these systems are aligned with operational and financial objectives across Montefiore Health System. The role provides leadership in system optimization, issue prevention, reporting, testing, training, and continuous improvement initiatives.
The Associate Director establishes system-wide priorities, success metrics, and multi-year improvement initiatives, ensuring alignment across Supply Chain Services, MIT (IT), and clinical operations. This role directs cross-functional programs, governs system strategy, and ensures enterprise-wide standardization, while delegating execution through appropriate team structures and partners.
This role also collaborates with Materials teams, suppliers, MIT to handle Physical Inventories.

Essential Functions

  • Define and execute the enterprise Materials Management systems strategy, including roadmap, prioritization framework, and governance model, with guidance and approval from the Sr. Dir.
  • Establish KPIs and performance benchmarks tied to inventory optimization, receiving efficiency, system adoption, and financial outcomes
  • Execute enterprise-wide transformation initiatives across ERP and ancillary systems
  • Support the Sr. Dir. on executing their decision authority on Materials Management system priorities, configurations, and enhancements
  • Serve as the subject matter expert for Infor Materials Management ERP modules (e.g. Receiving, Inventory Management, PAR Management, Item Master, and related workflows), collaborating on setting strategic direction, standards, and system governance
  • Serve as the subject matter expert for InnerTrack for PO receiving visibility and package tracking.
  • Ensure system configurations, workflows, and controls support standardized Materials Management practices across Materials teams.
  • Maintain accountability for system integrity, data accuracy, and operational usability from a Materials Management perspective.
  • Partner closely with MIT (IT), vendors, and Materials end-users to resolve system issues, implement enhancements, and prevent recurring defects.
  • Collaborate with Materials Management leaders and frontline teams to improve system adoption, efficiency, and compliance with standard workflows.
  • Represent Supply Chain Services in enterprise technology discussions related to ERP and ancillary systems impacting Materials Management.
  • Oversee the development of enterprise reporting strategy, ensuring dashboards and analytics support executive decision-making, financial performance tracking, and system-wide optimization.
    Collaborate with Data Analytics teams to develop and maintain recurring and ad‑hoc reports (e.g. reports related to: Inventory performance and accuracy, Receiving efficiency and discrepancies, PAR compliance and utilization, Operational KPIs and executive dashboards.) Ensure reporting supports decision‑making at operational, director, and executive leadership levels. Translate system data into actionable insights for Supply Chain and other leadership.
  • Establishes ad-hoc reporting both with manually tracked data and exports out of our Materials Management systems (e.g. ERP infor or InnerTrack).   • Lead and/or perform end‑to‑end functional testing for Materials Management functions: Monthly and semi‑annual Infor ERP updates, Bug fixes and patches, System enhancements and new functionality. Test across multiple environments, validate Materials Management workflows, and document outcomes. Partner with MIT and Vendors to ensure issues are resolved prior to production deployment and that changes meet operational requirements.
  • Supports Materials teams in monitoring product availability, monitor open order status, to project, prevent, or avoid shortages to prevent delays to patient care. Collaborates with Materials and SCS team members, vendors and clinical end users as necessary to accomplish these tasks.
  • Establish system-wide training strategy and adoption frameworks, ensuring scalable onboarding, change management, and sustained compliance
    Review, update, and maintain training materials, job aids, and standard operating procedures related to Materials Management systems. Perform and/or lead system training sessions for Materials Management staff and other stakeholders. Support change management initiatives to ensure successful adoption of system updates, enhancements, and standardized processes.
  • Establish and maintain governance for Materials Management system changes, access controls, and data standards. Identify opportunities to reduce manual workarounds, improve automation, and enhance system utilization. Support audits, internal controls, and compliance efforts related to inventory management and system usage.
  • Coordinates with Physical Inventory vendor, Materials team, IT in performing full physical inventories, including managing scheduling, overseeing the physical inventory process, and performing inventory freezes, loads, and unfreezes in ERP.
  • Oversee Materials Management operations in St. John's Riverside and Garnet Health; overseeing Warehouse, Central Stores, Receiving and Distribution, and PAR distribution for clinical areas; especially in integrating them into Montefiore processes. Including setting policies and procedures for the departments and ensuring these are followed. Managing the local management team. Evaluating operations to ensure Materials team are supporting clinical teams appropriately.
  • Provide coaching, performance management, and succession planning
  • Vendor relationship management, including performance oversight, contract alignment, and strategic planning for relevant vendors


Qualifications

  • Associates Degree Required - Bachelors Degree Preferred
  • Equivalent in BA/BS in experience and knowledge in a healthcare system in Materials Management / Supply Chain roles
  • 4-6 years Of progressive experience in Materials Management, Supply Chain Systems, or MMIS support, preferably within a large healthcare system. Required
  • 4-6 years Leadership experience, including managing teams and/or enterprise initiatives Preferred
  • 4-6 years Experience supporting a multi‑hospital, multi‑site healthcare system. Preferred
  • 4-6 years Familiarity with healthcare supply chain analytics and reporting tools. Preferred
  • 4-6 years Experience developing and delivering system training programs. Preferred
  • 4-6 years Experience managing represented staff in a collectively bargained environment. Preferred
  • Strong experience in Microsoft Office suite, especially Excel, PowerPoint, Outlook (High proficiency)
  • Demonstrated hands‑on experience managing ERP Materials Management modules. (High proficiency)
  • Experience supporting or managing systems for PO receiving, inventory control, and package tracking (e.g., InnerTrack or similar platforms).
