We are looking for an experienced and detail-oriented Assistant Operations Manager to support and strengthen day-to-day operations within a pharmaceutical distribution environment. The role requires strong operational coordination, inventory management, order fulfilment, vendor and distributor coordination, and the ability to ensure smooth movement of pharmaceutical products from suppliers to customers.
The ideal candidate will have hands-on experience in pharma distribution operations, with a strong understanding of inventory accuracy, order processing, warehouse coordination, dispatch planning, documentation, compliance, and service-level management.
Requirements
KEY RESPONSIBILITIES
- Support the day-to-day operations of pharmaceutical distribution activities across assigned functions.
- Coordinate procurement, inventory, warehousing, order processing, dispatch, and delivery activities.
- Monitor stock availability, inventory accuracy, batch details, expiry dates, and movement of pharmaceutical products.
- Coordinate with warehouse teams to ensure proper storage, picking, packing, and dispatch of products.
- Ensure orders are processed accurately and dispatched within defined timelines.
- Coordinate with distributors, suppliers, transporters, logistics partners, and internal teams to ensure smooth order fulfilment.
- Track incoming and outgoing stock and maintain accurate inventory and operational records.
- Monitor near-expiry, expired, damaged, returned, and slow-moving inventory and coordinate appropriate actions.
- Support stock reconciliation, cycle counts, physical verification, and investigation of inventory discrepancies.
- Monitor delivery schedules and proactively resolve delays, shortages, or order-related issues.
- Coordinate product returns, replacements, claims, and other distribution-related requirements.
- Ensure operational documentation, invoices, dispatch records, stock records, and related paperwork are maintained accurately.
- Support adherence to applicable pharmaceutical distribution, storage, safety, and compliance requirements.
- Monitor operational KPIs related to order fulfilment, inventory accuracy, delivery timelines, returns, and service levels.
- Identify operational bottlenecks and recommend process improvements to increase efficiency and reduce errors.
- Prepare regular operational reports and provide updates to the Operations Manager and senior stakeholders.
- Coordinate with sales and commercial teams to support customer requirements and resolve fulfilment issues.
- Assist in developing and implementing SOPs, workflows, controls, and operational best practices.
- Support audits, inspections, compliance reviews, and corrective actions as required.
- Help manage and guide warehouse, logistics, and operational support teams to ensure consistent execution.
WHAT MAKES YOU A GREAT FIT
- 7+ years of experience in operations, supply chain, distribution, logistics, or a related field.
- Strong hands-on experience in pharmaceutical distribution operations is highly preferred.
- Good understanding of pharma supply chains, distributor networks, warehouse operations, and order fulfilment processes.
- Strong knowledge of inventory management, stock reconciliation, batch tracking, expiry management, and returns handling.
- Experience coordinating with suppliers, distributors, transporters, warehouses, and internal business teams.
- Understanding of pharmaceutical storage, handling, documentation, and applicable distribution compliance requirements.
- Strong operational planning, coordination, and problem-solving skills.
- Ability to monitor multiple orders, shipments, inventory requirements, and operational priorities simultaneously.
- Strong attention to detail, particularly when handling batch numbers, expiry dates, quantities, documentation, and inventory records.
- Experience working with ERP, inventory management, warehouse management, or distribution management systems.
- Good proficiency in MS Excel and operational reporting.
- Strong communication and stakeholder-management skills.
- Ability to identify operational issues proactively and drive them through to resolution.
- Experience managing or coordinating warehouse, logistics, or distribution teams.
- Strong ownership mindset with a practical, hands-on approach to operations.
- Ability to work effectively in a fast-paced pharmaceutical distribution environment.
- Graduate degree in any discipline; qualifications in Supply Chain, Operations, Logistics, Pharmacy, or Business Management will be an advantage.
