The role coordinates proposal support, project set-up, resource assignments, amendments, billing, invoicing, accounts receivable follow-up, subsidy requirements, project closure, and related operational activities. The Coordinator ensures that work is completed accurately, efficiently, and in accordance with established procedures, service standards, controls, and delegated authorities.

The Coordinator provides operational guidance to Business Advisors and internal partners, coordinates assigned priorities and resolves routine and moderately complex operational issues using established procedures and precedents. The role identifies risks within the assigned portfolio, acts within established parameters, and escalates complex, sensitive, or precedent-setting matters with appropriate context and recommended next steps.

CHALLENGES TO BE MET

  • Independently coordinate and administer an assigned portfolio of Advisory Services projects from proposal and project opening through delivery support, amendments, invoicing, accounts receivable follow-up, completion and closure.
  • Support proposal preparation and project coordination by validating required information, identifying gaps and following up with Business Advisors and internal partners to support timely completion.
  • Coordinate assigned operational work queues by assessing priorities, monitoring service standards, and organizing the timely flow of work within established guidelines.
  • Coordinate resource assignment activities and related operational requirements, including required approvals, project information, consultant information, system updates and hand-offs.
  • Process and coordinate amendments, client billing, subsidy program requirements, budget adjustments, consultant invoices, project closing, accounts receivable matters and other project lifecycle activities.
  • Identify, investigate and resolve routine and moderately complex operational issues using established procedures, previous cases and sound judgment; escalate complex, sensitive, or precedent setting matters with relevant context, supporting information, and recommended next steps.
  • Apply Advisory Services procedures, controls, documentation requirements, service standards and delegated-authority requirements consistently to support compliance and quality.
  • Maintain accurate, complete and current project and portfolio information in designated systems; proactively follow up on missing information, incomplete milestones, pending approvals and conditions that may delay delivery.
  • Provide operational guidance to Business Advisors, network consultants, and internal partners by explaining established process, approval, system, and documentation requirements.
  • Coordinate with Finance and other support functions to resolve project, billing, invoicing, payment, portfolio, system and data-quality issues.
  • Identify operational, financial, compliance, and client-service risks within the assigned portfolio; act within established procedures and escalate or recommend next steps when required.
  • Prepare and maintain recurring operational reports, follow-up lists, and portfolio monitoring information; identify anomalies and complete or coordinate the required follow-up.
  • Contribute to continuous improvement by identifying inefficiencies, recurring service issues, control gaps and communication problems, and by recommending improvements to procedures, templates, checklists, tools and operating practices.
  • Support workload continuity by assisting other portfolios, queues, priority activities, special programs or peak-demand periods as required.

WHAT WE ARE LOOKING FOR

  • Post secondary education in business administration, operations, finance or a related field, or an equivalent combination of education and relevant experience.
  • A minimum of two to three years of relevant experience in project administration, operational support, professional services, financial services or another process-driven environment.
  • Demonstrated ability to independently administer multiple projects or files, manage competing priorities and meet deadlines.
  • Strong attention to detail, analytical skills and working knowledge of billing, invoicing, budgets, accounts receivable, operational controls, risk compliance and data accuracy requirements.
  • Client-service orientation and ability to balance procedural requirements, controls and practical client-focused solutions.
  • Clear communication and stakeholder-management skills, including the ability to explain operational requirements and guide stakeholders through established processes.
  • Proficiency with Microsoft Office tools, including Word, Excel and Outlook, and ability to work effectively across multiple operational platforms.
