Administrative Assistant II

Job Description

Administrative Assistant II provides secretarial and administrative support for a Health System Vice President. Coordinates schedules for and maintains accurate records of meetings with follow-up as required. Coordinates and manages Health System contracts for the respective division.

Hours: 8am-4:30pm

Requirement: HS diploma

Responsibilities

Demonstrates exceptional customer service skills in support of internal and external customers., Greets visitors and portrays a positive image of the organization at all times. Routinely supports and communicates (verbal and written) with staff, leaders, medical staff, and board members. Performs general office duties which include answering the telephone (for multiple main lines/individuals)., Maintains an adequate supply of office materials and dietary items, stocking the kitchen and file room with departmental supplies., Maintains appointment calendar for VP and others supported. Includes scheduling and setting up webinars and conference calls, preparing materials for discussion, ordering meals for meetings. May assist with ordering food (catered from outside) for the inpatient units and some support areas during peak census., Performs assigned duties to support operations in the division with focus on accuracy and timeliness., Prepares and distributes agendas and packets for meetings. Takes accurate and complete meeting minutes as requested., Prepares typed correspondence with the ability to compose letters and memos independently. Prepares reports, spreadsheets and electronic presentations to display data in a clear, easily understood manner.
