Job Summary

The Administrative Assistant supports the team with day-to-day administrative and organizational activities. This entry-level role is an excellent opportunity to gain experience in a structured, international environment, developing core administrative and coordination skills while working under guidance.

This position is reserved for workers in the legally protected status as per L.68/99.

Key Responsibilities

• Support calendar management and assist in scheduling meetings and appointments, in travel arrangement and expense reporting
• Help organize travel arrangements and logistics
• Maintain and archive documents (digital and physical)
• Assist in preparing basic reports, presentations, and internal documents
• Handle routine communications (emails, calls, correspondence)
• Support procurement processes (e.g., creating purchase requests, tracking orders)
• Assist with expense report preparation and submission
• Support the organization of meetings, events, and site visits
• Collaborate with internal departments (HR, Finance, Facilities, IT) as needed
• Follow company procedures and ensure administrative accuracy

Qualifications

Experience

• Belong to legally protected status as per L68/99
• 0–2 years of experience in administrative or office support roles
• Internship or apprenticeship experience is considered a plus

Technical Skills

• Basic to good knowledge of Microsoft Office (Outlook, Excel, Word, PowerPoint)
• Willingness to learn corporate tools and systems (e.g., SAP, internal platforms)
• Basic organizational and data handling skills

Languages

• Fluent Italian
• Good English (written and spoken)

Soft Skills

• Good organizational skills and attention to detail
• Willingness to learn and grow professionally
• Positive attitude and team-oriented mindset
• Good communication skills
• Reliability and willingness to follow guidelines
• Ability to manage simple tasks with supervision

As of the date of this posting, the estimated gross annual base salary range for this position in Italy is between 26,400 € and 36,400 € annually. This range is intended as a guideline. Actual compensation may vary based on qualifications, experience, skills, and specific business or organizational needs. This position falls under the applicable National Collective Labour Agreement (Metalmeccanica Industria). Where relevant, the total compensation package may also include additional elements such as annual incentive opportunities and/or equity, along with a competitive benefits package.
