Prosper is building the most advanced conversational AI agents for healthcare — human-like phone agents that handle the administrative work draining the system: claims status checks, benefit verification, prior authorizations, patient scheduling, and balance reminders. We're a highly motivated team of 60 — ex-MIT, HBS, Bain, and Math/CS/Physics olympiad medalists — and as we prepare for our next stage of growth, we're looking for ambitious, exceptionally talented people to help scale our team and grow with us.

The role

We're growing fast in two offices, and we want both to feel like one company. As our Workplace & Culture Manager in New York, you'll own what it feels like to work at Prosper: the office, the rituals, the events, and the small moments that make people want to come in. You'll also own what it feels like to join us, from someone's first interview to the end of their first 90 days.

Our New York office is also our HQ. It's where customers, candidates and investors meet us for the first time, so first impressions are part of the job too.

You'll report to our Head of People and work side by side with your counterpart in Barcelona. This is a hands-on role with real ownership. We're looking for someone who takes something, runs with it and makes it better without being reminded.

This role is in person in New York City.

What you'll do

Run the office

• Keep the office running every day: cleaning, maintenance, security, supplies, shipping and meeting rooms

• Own our vendors end to end, from negotiating contracts to managing performance

• Be our point of contact with building management, and lead space planning as the team grows

• Own the office budget. Plan it, track it and report on it every month.

• Run our food and drinks program and office perks

Be the face of our HQ

• Welcome customers, candidates, investors and guests, and make sure every visit goes smoothly

• Coordinate the logistics for customer and investor meetings at the office

Build the culture

• Plan and run a quarterly calendar of events: socials, celebrations, hackathons, offsites and all-hands

• Look after the rituals that make Prosper feel like Prosper, and start new ones

• Own the rituals that connect New York and Barcelona, from all-hands to team visits, including organizing travel between the two offices and to customer visits

• Own office communications, so everyone knows what's happening and when

• Keep a pulse on how people feel in the office and act on what you hear

• Put Prosper on the map in New York's tech and talent community, through meetups, events and partnerships

Make joining Prosper great

• Own onboarding in New York: desk, equipment and access ready before day one, a first week people remember, and check-ins at 30, 60 and 90 days

• Make sure people who leave us have a smooth, respectful exit

• Own the candidate experience for New York: interview scheduling, office visits, and making sure everyone hears back

Be the local face of People

• Be the first person New York employees come to with questions, and get them to the right answer

• Work with our US payroll and benefits provider on day-to-day questions, including I-9 verification

• Keep employee information accurate in our HR system

What we're looking for

• 3–5 years running an office, workplace or employee experience, ideally in a fast-growing startup

• You've owned high-visibility office operations where the details matter

• You've negotiated with vendors and worked with building management

• You own things end to end and can tell us about processes you built, ran and improved

• You're highly organized, you anticipate needs, and you close loops without reminders

• You've created events and rituals people still talk about, not just booked venues

• You're warm and trusted, and you communicate well with everyone from founders to guests

Nice to have

• You've opened, moved or scaled an office

• Experience with an HR system or an applicant tracking system

• Familiarity with US onboarding (PEO, I-9)

• Spanish

• The office runs so well that nobody has to think about it

• Every new hire is fully set up on day one and rates their onboarding highly at 30 days

• Guests leave with a great first impression of Prosper

• The events calendar is out before each quarter starts, and people show up
